I. JOB OVERVIEW






Job Description Summary:
The George Washington University ( GWU) School of Medicine and Health Sciences ( SMHS) is the sponsoring institution for residency and fellowship programs accredited by the Accreditation Council for Graduate Medical Education ( ACGME). The Graduate Medical Education ( GME) Office provides oversight and support for all ACGME-approved residencies at GWU SMHS and all of its affiliate institutions.

The Manager, GME Program Coordination will provide direct management and oversight of GME Program Associates while ensuring consistency in processes, compliance, onboarding, training, scheduling, and operational performance across all residency and fellowship programs. The position will serve as the first level of management for staff and provide operational support to GME leadership.

Primary Responsibilities

  • Personnel Management
  • Direct supervision of all GME Program Associates
  • Monitor employee performance and productivity
  • Conduct annual performance evaluations
  • Coordinate employee onboarding and orientation
  • Approve and manage time and attendance
  • Monitor leave requests and staffing coverage
  • Participate in hiring, interviewing, and onboarding of new Program Associates
  • Address employee relations concerns and escalate issues as appropriate
  • Assist with corrective action processes when necessary
  • Assist with GME Events


Coordinator Operations

  • Coordinate and lead monthly coordinator meetings
  • Monitor coordinator compliance with GME and ACGME deadlines
  • Develop standardized workflows and best practices
  • Provide consultation and operational support to coordinator staff
  • Monitor coordinator workload distribution and staffing needs
  • Assist with coverage planning during vacancies and extended absences
  • Training and Development
  • Lead onboarding and training of new coordinators
  • Develop coordinator training materials and resources
  • Coordinate cross-training among programs
  • Serve as mentor and resource for coordinator staff
  • Identify professional development opportunities

Compliance and Reporting

  • Monitor completion of required GME reports
  • Monitor and support PC schedule uploads in Medhub
  • Monitor CMS and institutional reporting requirements
  • Develop and manage IRIS error reports from program schedules
  • Assist with preparation for accreditation reviews and site visits
  • Ensure consistency of coordinator processes across programs
  • Utilize GME systems and processes, Specifically Medhub
  • Identify opportunities for operational improvement
  • Maintain coordinator policies and procedures
  • Provide regular status updates to GME leadership regarding performance, staffing concerns, and operational risks

Perform other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning responsibilities that are logically related to the position.
Minimum Qualifications:

Qualified candidates will hold a high school diploma/GED plus 4 years of relevant professional experience, or, a Bachelor's degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Additional Required Licenses/Certifications/Posting Specific Minimum Qualifications:
Preferred Qualifications:

  • 4+ years related experience with GME program coordination or a related field.
  • Demonstrated success in cross-program collaboration and coverage.
  • Strong Understanding of ACGME and Institutional Accreditation standards.
  • Proven ability to lead, mentor, and train others.
  • Excellent communication, organizational, and project management skills.
  • Proficiency in Microsoft Office and GME-specific software (e.g., Medhub).
  • Proficiency in program related databases (e.g. ACGME, ERAS, NRMP)
  • Experience developing training materials or leading onboarding initiatives.
  • Prior supervisory experience

Hiring Range $55,260.32 - $96,073.49
