Position Summary

The James & Gail Ellis School of Business Leadership is currently inviting applications from self-motivated and creative students to join our Corporate & Community Engagement (CCE) team as Office Assistants. Office Assistants are an extremely valuable part of the CCE team and support the department in a variety of ways to meet business needs. Selected candidates will provide high-quality service and support to our faculty, students, and staff. Students hired into this position must be reliable and interact well with people as they may serve as a primary line of communication for faculty, staff, students, vendors and guests, and therefore should possess the ability to communicate effectively over the phone, via email, and in person. Office Assistants may work closely with Unit Leaders to perform a wide variety of administrative tasks and support, as well as planning activities and tasks.

Performs a range of basic office support activities, such as answering phones and directing calls, greeting and directing visitors, answering questions, performing routine clerical, data entry and/or word processing work, and assisting with departmental projects and events.

Duties and Responsibilities may include:



  • Answer telephones, route calls, take messages, provide general information, greet and direct visitors, and respond to routine inquiries from students, instructors, community partners, and program participants.
  • Provide administrative support for Corporate & Community Engagement programs, professional development courses, customized workforce training, and special events.
  • Assist as a Course Student Aide by supporting online and in-person courses, monitoring communications, assisting participants, managing course materials, and providing customer service to learners and instructors.
  • Work remotely during evening hours to support course delivery and participant needs. University-issued laptops will be provided as needed.
  • Assist with the planning, setup, execution, and breakdown of occasional evening and weekend events, workshops, networking functions, and community engagement activities.
  • Distribute correspondence and other materials to department staff, instructors, and stakeholders.
  • Copy, scan, organize, and distribute materials as requested; assist with maintaining office equipment and supplies.
  • Establish, maintain, process, and update files, records, databases, spreadsheets, and other departmental documents.
  • Perform specialized clerical and administrative services in accordance with established university and departmental procedures.
  • Assist with data entry, registration management, participant tracking, surveys, and reporting activities.
  • Run routine errands and provide logistical support for departmental operations, as needed.
  • Support marketing and outreach efforts through social media, email communications, event promotion, and community engagement initiatives.
  • Perform miscellaneous job-related duties as assigned.


Minimum Qualifications

Enrolled in a degree seeking program at UNM, Enrolled at least half-time (6 hours) at UNM for fall and spring semesters (Audit hours do not count), and if Work Study, you must meet Satisfactory Academic Progress.



Preferred Qualifications

  • Ability to communicate effectively, both orally and in writing, ability to create, compose, and edit written materials.
  • Database management skills and ability to gather and enter data and compile information.
  • Skilled in the use of computers and related software applications to include, but not limited to Outlook, Microsoft Word, Excel, Power Point, and Adobe Applications.
  • Experience with scheduling appointments and meetings internal and external participants, planning and executing live and virtual events
