What You Will Experience in This Role:

We are seeking a highly organized, proactive Professional Services Administrator to provide administrative assistance to the members of the Professional Services Department. This role will serve as a key point of contact for new and current clients, while also independently coordinating day-to-day office activities and administrative tasks within the department. The ideal candidate will have demonstrated experience managing office administration responsibilities, supporting internal client accounts, and taking ownership of projects from initiation through completion. This person should be comfortable working independently, exercising sound judgment, prioritizing competing needs, and taking initiative in a dynamic, fast-paced work environment.

Responsibilities:



  • Create, send and follow up with proposals for services to potential and/or existing customers
  • Coordinate travel including flights, hotel, rental cars, etc
  • Prepare for monthly client class training including communicating class info internally, greeting customers upon arrival, distribution and collection of key cards for building access, ordering and setting up lunch, and scheduling class resources
  • Answer all incoming phone calls as needed
  • Maintain the shared company calendar
  • Coordinate professional services efforts by acting as a liaison between the customer and our internal departments including logging requests in internal tracking system, updating on status and timelines internally and externally, validating payment prior to delivery of services, gathering information as needed to complete requests, ensuring all internal contacts are updated as needed.


You have:



  • Associates degree or equivalent from two-year college and a minimum of six 6 months related experience or equivalent combination of education and experience
  • Excellent written and verbal communication skills
  • Strong attention to detail and are highly organized
  • Experience with Microsoft Office - specifically Outlook, Excel and Word
  • Ability to identify and resolve problems in a timely manner
  • A willingness to work closely with internal teams as well as with clients and make independent decisions as needed
  • A strong commitment to customer service
