Surgery scheduling and coordination are critical components of patient care. It is a complex process of coordinating patients' personal schedules and needs, surgeons' schedules, access to hospital facilities and insurance authorizations. Must have strong communication skills to coordinate with clinic, surgeon, OR, ASC and outside personnel to ensure case accuracy from creation to completion. Responsibilities:
- Build and maintain strong relationships with providers, patients.
- Manage complex schedules (OR, ASC, and clinic) with a high level of accuracy.
- Schedule advanced surgical procedures across multiple specialties.
- Ensure all prior authorizations, referrals, and certifications are secured before procedures.
- Coordinate preoperative requirements, including labs, diagnostics, consults, and clearances.
- Collaborate with surgeons and OR/ASC staff to arrange necessary personnel and equipment.
- Maintain surgical schedules (daily, weekly, monthly) and update for changes (add-ons, delays, cancellations, emergencies).
- Collect and verify required clinical and insurance coding information.
- Coordinate post-operative follow-up care.
- Communicate effectively with patients across multiple channels (in-person, phone, MyChart, interpreters).
- Support clinical leadership with provider-related issues and operational needs.
- Serve as liaison between site staff and department, including provider staffing coordination.
- Assist in creating provider schedules within electronic systems.
- Demonstrate strong communication, organization, prioritization, and problem-solving skills.
Qualifications:
- High School Diploma/GED Required
- A minimum of 18 months experience in a clinical setting.
- Previous one on one experience with surgeon/s required
- Requires strong organizational skills
- Must be able to function under pressure while maintaining professionalism
- Familiarity to CPT and ICD-10 coding
