Overview

We are seeking our new Senior Payroll Specialist to join the Axway team!

Axway is seeking a highly skilled and detail-oriented Senior Payroll Specialist to manage end-to-end payroll operations for U.S.-based employees, with additional responsibility for Canadian payroll.

This standalone role is critical to ensuring accurate, timely, and compliant payroll processing in a complex, multi-state environment. The successful candidate will maintain strong internal controls, generate payroll reporting, support audits, and deliver excellent employee support.

The ideal candidate brings deep expertise in U.S. payroll regulations, tax compliance, and hands-on experience with ADP Workforce Now, along with the ability to work independently in a fast-paced environment

This role reports to the Global Payroll Manager and works closely with HR and Accounting teams

Location: Scottsdale, AZ

Hybrid: 2 Days Onsite per Week



Responsibilities

Payroll Processing
    Process semi-monthly, multi-state U.S. payroll using ADP Workforce Now
  • Process semi-monthly Canadian payroll using ADP TeamPay
  • Ensure accurate and timely calculation of salaries, overtime, commissions, bonuses, stock compensation, and salary adjustments
  • Administer monthly commissions, annual bonus payments, salary increases, and off-cycle payroll runs
  • Review and validate all payroll data to ensure accuracy, completeness, proper authorization, and compliance with company policies
Benefits & Deductions
  • Administer payroll deductions, including benefits, retirement contributions, garnishments, and levies
  • Manage severance payments, employee advances, and 401(k) loans
  • Oversee state unemployment insurance (SUI) tax requirements
  • Support audits related to 401(k), workers' compensation, and financial reporting
Compliance & Tax Management
  • Partner with ADP to ensure compliance with federal, state, and local payroll regulations
  • Oversee payroll tax filings, payments, and reconciliations, maintaining high standards of accuracy and compliance
  • Ensure compliance with Canadian payroll regulations, including CRA filings and provincial requirements
  • Manage Records of Employment (ROEs) and statutory reporting in Canada
  • Lead year-end processes, including employee tax forms and government reporting
  • Stay current with legislative changes impacting payroll and ensure ongoing compliance
Reporting & Accounting Support
  • Perform payroll variance analysis against prior periods, identifying and explaining key drivers such as headcount changes, salary increases, bonuses and one-off items
  • Prepare ad hoc payroll reports for internal stakeholders
  • Import and validate expense reimbursements from Concur into payroll
  • Partner with Accounting to support payroll-related activities, including journal entries, payroll postings, vacation accruals, and benefits allocations
Employee Support
  • Main point of contact for payroll-related inquiries
  • Resolve payroll discrepancies and issues promptly
  • Maintain payroll calendars and communicate key deadlines to stakeholders

Qualifications

  • Bachelor's degree or equivalent experience
  • Proven experience processing multi-state U.S. payroll
  • Experience with ADP Workforce Now
  • Knowledge of payroll tax regulations and compliance
  • Experience supporting audits and reporting processes
  • Ability to work in a hybrid model (2 days per week in office, standard hours: 08:00-17:00, Monday-Friday)
  • Experience in processing payroll in other countries is a strong advantage
  • Background in accounting or accounts payable is a plus
