Business Rhythm & Communication

  • Own coordination of key leadership forums, including:
  • Biweekly staff meetings.
  • Quarterly all-hands across four manufacturing shifts.
  • Drive agenda planning, materials coordination, and follow-ups to ensure action and alignment.
  • Partner with leaders to ensure clear, professional communication across teams.
  • Coordinate travel and expense reports for executives who travel at least monthly.

Operational & Cross-Functional Coordination

  • Serve as a central hub connecting Manufacturing, Pilot, and cross-functional partners (HR, IT, Facilities, Finance, etc.).
  • Coordinate site visits, customer engagements, and leadership travel.
  • Support onboarding, interviews, and team engagement activities.

Office & Site Support

  • Ensure smooth site operations, including office coordination, supplies, and facilities interface.
  • Support a dynamic 24/7 environment spanning multiple shifts and employee populations.

Financial & Administrative Processes

  • Manage purchase requisitions, expense reports, invoicing, and tracking.
Who we're looking for
  • A highly experienced administrative professional who thrives in a fast-paced, high-visibility environment.
  • A proactive, forward-thinking partner who anticipates needs and removes barriers for leaders.
  • A trusted individual with strong judgment and a proven ability to handle confidential information.
  • Someone who is comfortable operating across organizational levels, from executives to front-line manufacturing teams.
  • A strong multitasker who can pivot quickly and maintain composure under pressure.
Preferred qualifications
  • 6+ years of senior administrative experience, including support of executive-level leaders.
  • Experience supporting multiple leaders and managing complex priorities simultaneously.
  • Background in manufacturing, operations, or similarly fast-paced environments preferred.
  • Demonstrated experience coordinating large-scale meetings or events (e.g., all-hands).
  • Strong proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Teams).
