Job Description:

Staff Assistant to multiple faculty members within the Division of Infectious Diseases with various high impact needs within the division. Provide support for a busy Transplant group of physicians with varying needs (high level calendar support, travel planning and reimbursements, maintain CVs, CME credits, etc). Ability to multitask is essential to supporting various physicians and multiple needs at one time.

Calendar: Scheduling of meetings, conferences, media and other speaking engagements, travel, research activities, clinical schedules.

Travel arrangements for both foreign and domestic travel, coordinating out of town meetings, conferences, arranging hotels, preparing travel reimbursements, personal expense reports and third-party expenses. Use of concur to process procurement card and out of pocket expenses processed.

Patient appointment scheduling, managing patient calls, faxing prescription refills, routing calls for patients needs to the appropriate places. Communicating with patients when needed at physician direction. Maestro/Epic access and experience is preferred.

Administrative: Manage very busy schedules for faculty members who are engaged in high level activities within and outside of Duke. Manage CVs for faculty members, manuscript preparations, screen callers for appropriate needs and maintain divisional and department policies. Ensure that all assignments are completed in a timely manner and accurately.

Oversight of faculty discretionary spending accounts. Monitor for accurate charges, update faculty with balances and assure that correct charges are placed on accounts.

Other duties as needed within the ID Division. Position will be in-person for first 90 days and then will have a hybrid schedule of 2-3 days per week on campus. Hours will vary depending on needs of the faculty and division each week. Need a candidate that is flexible with rotating days on campus and hours worked.


Anticipated Pay Range: Duke University provides an annual base salary range for this position as USD $19.80 to USD $30.63.
