Perioperative Clerical Coordinator Job Responsibilities:

The Staffing Coordinator is responsible for supporting the scheduling and staffing needs of clinical and non-clinical departments. This role ensures adequate coverage by maintaining schedules, tracking attendance, and coordinating shift assignments.

Job Responsibilities

  • Prepares and maintains daily, weekly, and monthly staff schedules.
  • Coordinates shift coverage for call-outs, vacations, and staffing shortages.
  • Communicates schedule changes to staff and department leaders.
  • Maintains accurate records of time, attendance, and staffing levels.
  • Assists with data entry and reporting related to staffing metrics.
  • Supports payroll processing by verifying timekeeping records.
  • Serves as a liaison between departments, supervisors, and staff regarding scheduling needs.
  • Responds to inquiries related to shifts, availability, and staffing policies.
  • Notifies leadership of staffing gaps or trends that may impact operations.
  • Ensures compliance with staffing guidelines, labor laws, and union agreements (if applicable).
  • Maintains confidentiality of employee information and personnel records.
  • Utilizes the Smart Square application in everyday system staffing matters as well as helping team members and leaders with Smart Square-related questions and issues.
  • Assists with onboarding and orientation scheduling for new hires.
  • Analyzes staffing usage and trends throughout the Health System and within Smart Square to identify opportunities of staffing improvement and optimization.
  • Takes incoming calls and call outs and updates Smart Square to reflect daily system-wide staffing shortages.
  • May perform additional projects and duties as assigned.

Minimum Qualifications:

  • Experience 1 year of relevant office experience in a fast-paced environment
  • Education: High School diploma or equivalent
  • Certification: None Required

Preferred Qualifications:

  • Healthcare experience
  • Medical Terminology knowledge
  • Surgical Scheduling experience
  • Bilingual - Spanish or other languages
  • Previous Smart Square or Simpler experience
