Ensures compliance with applicable standards, laws, regulations, and internal policies and operating procedures related to the creation, maintenance, use, retention, and disposition of University records. Independently performs records management functions that may include classifying, indexing, storing, securing, destroying, or coordinating the archival preservation of records, as appropriate. Provides guidance, consultation, and technical expertise to departments on the application of established records management policies and best practices.

Applies thorough knowledge of records management principles, University policies, and internal procedures to resolve records management issues of moderate to complex scope. Independently analyzes situations requiring assessment of multiple identifiable factors and determines appropriate courses of action within established guidelines. Exercises judgment and discretion in addressing non routine issues and consults with a supervisor on matters involving policy interpretation or elevated risk.

In accordance with established records management policies, independently supports and oversees the management of hard copy and electronic records within designated areas of authorized access. Reviews, analyzes, classifies, and indexes records, and provides expert consultation to departments performing these functions, to ensure compliance with approved records management standards and retention requirements.

Provides required operational and subject matter support for Release of Information (ROI), Deficiency Analysis, Master Patient Index (MPI), Data Integrity, and Coding activities in compliance with HIPAA privacy and security requirements, Joint Commission (TJC) standards, Title 22 regulations, and organizational policies and procedures. Serves as a resource for resolving complex or sensitive issues related to access, confidentiality, and data integrity.

MINIMUM QUALIFICATIONS
  • Associates degree in related field and / or equivalent experience.

  • Two (2) or more years of relevant hospital clerical experience (i.e. prepping and scanning of paper records, indexing paper records, the release of information for medical records etc.)

  • Experience and proven success in records management principles and practices.

  • Knowledge of records management principles and practices.

  • Limited experience with automated storage and retrieval systems, and electronic records.

  • Demonstrated experience with Microsoft Office Suite and general office applications.

  • Demonstrated customer service skills.

  • Ability to handle challenging situations with tact and diplomacy.

  • Ability to work independently, handling multiple priorities and meeting established timeframes.

  • Strong organizational skills and ability to multi-task with demanding timeframes.

  • Ability to use a high level of discretion and maintain all confidentiality.

PREFERRED QUALIFICATIONS
  • Registered Health Information Technician (RHIT) or Registered Health Information Administrator (RHIA) certification plus at least two (2) years of more health information experience/training.

  • At least four (4) years of Healthcare Administrative Environment Experience. (Ambulatory and Inpatient).

  • Bachelor's HIM program and/or Master's HIM program.

  • Chart analysis in Epic experience.

  • Transcription vendors experience.

  • Patient Identity/Data Integrity experience.

  • Demonstrated experience and proven success in applying records management principles and best practices.

  • Working knowledge of records management standards, retention requirements, and records lifecycle processes.

  • Experience with automated storage and retrieval systems and electronic health records, with the ability to adapt to evolving technologies.

  • Proficiency with Microsoft Office Suite and general office applications.

  • Demonstrated customer service skills and ability to communicate effectively with internal and external stakeholders.

  • Ability to handle sensitive or challenging situations with tact, professionalism, and diplomacy.

  • Demonstrated ability to work independently, manage multiple priorities, and meet established deadlines in a fast paced environment.

  • Strong organizational and time management skills, with the ability to multitask and perform accurately under demanding timeframes.

  • Demonstrated ability to exercise a high level of discretion and maintain strict confidentiality in accordance with regulatory and institutional requirements.

Pay Transparency Act

Annual Full Pay Range: $70,178 - $99,451 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $33.61 - $47.63

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
