Vasion is seeking an Executive Assistant - GTM who embodies our core values and is eager to join our dynamic team. We are dedicated to enabling digital transformation for everyone by providing an affordable, integrated SaaS solution that simplifies business operations. Vasion offers a flexible working environment for our 400+ employees around the globe, including at our headquarters in St. George, Utah, and offices in the UK, Germany, and Lehi, Utah.
Role Overview
This is not a traditional EA role. We're building something different - a position that sits at the intersection of operational excellence and strategic execution, serving two of Vasion's most critical leaders as we scale from $100M to $200M ARR. You will own the rhythm of the GTM organization, hold the people and performance agenda accountable, and ensure the CRO and CMO show up to every critical moment (board, business review, or company-wide event) fully prepared, on time, and ahead of the game. The right person for this role is part operator, part strategist, part systems thinker. You see the calendar as a strategic tool, documentation as a leadership lever, and follow-through as a competitive advantage. If you're looking for a seat at the table rather than a role beside it, this is it.
Responsibilities
01 GTM Rhythm of Business
- Design and own the full calendar cadence (monthly, quarterly, and annual) across the CRO, CMO, and collective GTM leadership team
- Map meeting schedules against global holidays, fiscal close windows, V3, Circle of Excellence, and the annual planning calendar set by the Head of Strategy
- Ensure sequencing is intentional: the right conversations happen in the right order, at the right altitude
- Facilitate key recurring forums (QBRs, MAP check-ins, GTM syncs) not just book them, but make sure they run well
02 People & Performance Development
- Own the end-to-end flow of performance reviews across all direct reports of the CRO and CMO
- Communicate timelines, distribute documentation, and follow through relentlessly until every review is completed and posted in BambooHR
- Schedule and track quarterly check-ins with consistent documentation - nothing falls through the cracks
- Serve as the connective tissue between people operations and day-to-day leadership accountability and handle timely delivery of birthday, anniversary and illness related morale
03 MAP Governance & AIM Awards
- Monitor and maintain MAPs (Missions of Aspirational Performance) for all leaders across the CRO and CMO organizations
- Surface gaps proactively - flag at-risk performance before it becomes a problem, and celebrate strong performance before it goes unnoticed
- Keep the C-suite informed with regular status updates; no one should be surprised by MAP compliance issues
- Track individual completion rates and prepare preliminary AIM Award nominations each quarter - you do the legwork, leadership makes the call
04 WorkRamp Training Compliance
- Own training completion across the full Sales and Marketing organizations reporting to the CRO and CMO
- Monitor progress dashboards, flag non-compliance early, and work directly with managers to drive completion
- Coordinate with the learning and enablement team to ensure curriculum stays current and launches are tracked
- Report out on training health as a regular cadence item - completion is not optional, and you're the one who makes that visible
05 Board Preparation & Executive Readiness
- Collaborate with the Head of Strategy to align board agendas to business outcomes - content-first, not calendar-first
- Run kickoff meetings with the CRO and CMO well in advance of each board cycle; track slide progress and talk track readiness
- Manage all logistics: travel, prep materials, pre-reads, and post-board follow-up actions with full ownership
- Ensure neither executive arrives underprepared, overbooked, or without the context they need to lead
06 Strategic Communications & Information Flow
- Serve as a communications hub between the CRO, CMO, and their broader organizations - ensuring the right information reaches the right people at the right time
- Draft, review, and manage internal communications on behalf of leadership, including team announcements, initiative updates, and follow-ups from key meetings
- Triage inbound requests, surface what requires executive attention, and move everything else forward without escalation
- Protect executive bandwidth - not by gatekeeping, but by creating clarity about what needs to be prioritized and when
07 AI-Enabled Operations & Continuous Improvement
- Actively leverage AI tools (scheduling automation, note-taking, document prep, workflow management) to raise the operational ceiling of the role
- Identify and eliminate recurring inefficiencies in the GTM operating model - if something is broken, you fix it; if something is manual, you automate it
- Build and maintain lightweight systems of record for the CRO and CMO office: decision logs, action trackers, stakeholder maps
- Benchmark how the GTM org operates and bring forward recommendations - you're not just keeping the machine running, you're making it faster
This role still includes the fundamentals that every great EA owns with pride:
- Complex, multi-timezone calendar management for the CRO and CMO
- End-to-end travel coordination, including international trips and board meeting logistics
- Expense reporting and reconciliation
- Meeting preparation: agendas, pre-reads, notes, and follow-up actions
- Discreet handling of sensitive and confidential information
Requirements
- You've operated in a senior EA, Business Manager, or Chief of Staff-adjacent role in a high-growth B2B SaaS or technology company.
- You understand how GTM organizations work
- You are relentlessly organized
- You think in systems and process
- You don't wait to be asked, rather you see what's needed and move
- You are a confident communicator at every level such as you can write a crisp exec summary, run a QBR prep session, and navigate a sensitive people conversation
- You hold people accountable without being the bad cop
Benefits
- Flexible work environment
- Vacation Bonus
- Flexible paid time off
- Paid parental leave
- Competitive pay
- A full suite of traditional benefits
- Training/Advancement opportunities
- 401k with company match and immediate vesting
- Financial wellness education
- Company-contributed HSA
- Onsite perks include gym, pickleball, snacks & drinks, arcade, theater room, etc.
