CHA Consulting, Inc. is seeking an AEC Project Administrator to join our Aviation Team in Indianapolis, IN; Rochester, NY; Cleveland, OH; Providence, RI; Columbus, OH; or Knoxville, TN, where you will play a critical role in keeping airport and aviation infrastructure projects on track, compliant, and moving forward. This is an exciting opportunity to work with experienced project managers, engineers, and external partners while contributing to projects that connect communities and keep people moving.



What You'll Do:

    Independently manage administrative and documentation workflows for aviation projects, ensuring alignment with scope, schedule, and budget
  • Coordinate complex project documentation including bid packages, RFIs, submittals, change orders, technical records, correspondences, contracts/subcontracts, and meeting minutes
  • Assist with specification schedules and assignments and collaborate with project team leadership on specification needs and updates
  • Serve as a key point of contact between project managers, contractors, vendors, and internal teams to support clear communication
  • Monitor project schedules and financial tracking tools, proactively identifying risks, trends, and variances
  • Support procurement and contract administration activities, including vendor onboarding and audit-ready documentation
  • Facilitate project meetings by preparing agendas, tracking action items, and ensuring timely follow-up
  • Contribute to continuous improvement of project administration tools, templates, and processes
  • Provide administrative and operational support including assisting project managers with professional license applications, document management, travel arrangements, and meeting set up


What You Bring:

  • Associate's degree in Construction Management, Business Administration, or a related field required; Bachelor's degree preferred
  • Minimum of 5 years of experience in project administration, coordination, or project management roles in the A/E/C industry required
  • Strong understanding of construction administration and project lifecycles with the ability to interpret project documentation such as contracts, specifications, and schedules
  • Proficiency with Microsoft Office Suite and project management tools (e.g., Deltek, Procore)
  • Knowledge of office management systems and procedures
  • Strong organizational, communication, planning, and documentation skills with keen attention to detail
  • Ability to manage multiple priorities independently while collaborating across teams
  • Familiarity with RFIs, submittals, and change order processes is a plus
  • Knowledge of state statutes for public bidding of construction projects

Salary Range:

$33.00 - $36.00

Salary is based on a variety of factors, including, but not limited to, qualifications, experience, education, licenses, specialty, training, and fair market evaluation based on industry standards.
