Job Summary

Working in a fast-paced, high-energy, one-stop environment, this position provides student service program support in the Enrollment Center and provides resource referrals. This position maintains the daily workflow for Admissions & Records backend processes and procedures, and collaborates with team members in an on campus, in-person environment. Assists faculty and professional staff and team with the planning and processing of educational opportunities. Performs duties with a strong technical aptitude, and knowledge in Admissions & Records policies and processes, including admissions, registration, transcript evaluations, graduation processes, and record compliance.

Essential Functions

35% Transcripts & Degree Processing
  • Process official and unofficial transcript requests.
  • Identify courses to course equivalencies and reflect these in the articulation tables.
  • Identify one-to-one, many-to-one, and one-to-many course equivalencies and codes the
    articulation table appropriately for proper credit distribution.
  • Evaluate CLEP scores, credit by exam, and petitions for equivalencies/substitutions in the
    degree/certificate programs.
  • Evaluate AP reports for credit awards to students.
  • Evaluate, articulate, and convert all transfer credits to semester credits.
  • Analyze graduation applications to determine degree type, major, and catalog year; computes
    credits attempted and earned, quality points, and cumulative grade point average (GPA);
    determine requirements completed and to be completed for graduation; analyze transcripts to
    ensure residency, total credit, and GPA requirements meet standards; notify students of
    graduation status and report deficiencies; process graduation information; review final grades
    to confirm students fulfilled requirements; review requests for waiver or adjustment of
    academic requirements; maintain graduation records and prepare reports on graduation
    statistics.
  • Verify student degrees and enrollment for internal and external stakeholders.
  • Perform degree audits and graduation certification.
  • Remain competent and current through self-directed professional reading, developing
    professional contact with colleagues, attending professional development seminars, and
    attending training and/or courses as directed by the senior executive.

    20% Student Records Management
  • Maintain and update student academic records in the Student Information System (SIS).
  • Process enrollment, registration, withdrawals, and grade changes.
  • Verify the accuracy and completeness of records.
  • Prepare records for permanent storage and/or disposal; evaluate transcripts and record them in
    the Student Information System.
  • Prepare and maintain credit records and files, verifies data regarding student records, records of
    transactions, grades, academic status, registration status, graduation status and transfer
    coursework to include printing and distribution of student transcripts.
  • Load, verify and update credit course information on computer for registration purposes.
  • Record high school and college transcripts, ACT scores, assessment tests, Phi Theta Kappa
    designations, and historical records as needed.

    20% Data Tracking, Reporting and Compliance
  • Input and maintain student data in electronic systems.
  • Compile reports for internal departments or accreditation agencies.
  • Run queries and audits to ensure data integrity.
  • Recommend and implement improvements to records-related procedures.
  • Participate in audits or accreditation reviews as necessary and required.
  • Determine most appropriate and accurate coding to ensure students are correctly coded into
    records following state reporting guidelines and to accurately maintain full time equivalent (FTE)
    count.
  • Interpret the college catalog regarding credit and transfer policies and the acceptance of
    courses from other agencies as equivalents to MCCCD/MCC courses.
  • Scan and index files including students' records, registration materials, and grade sheets into an
    electronic filing system.
  • Review and correct student records based on established procedures to ensure accuracy.
  • Maintain updated records in student information systems.
  • Prepare regular reports for administrators and stakeholders regarding progress toward
    graduation goals.
  • Ensure all research and culminating experience requirements are entered into designated
    systems, while maintaining confidentiality and exercising discretion in communicating
    information to faculty, students, staff and the various publics served by the college while
    handling records and files and similar confidential items.
  • Verify that college transfer policies comply with Mesa Community College and the State of
    Arizona transfer policies. Implement coding schemes to reflect institutional and system
    requirements.
  • Remain competent and current through self-directed professional reading, developing
    professional contact with colleagues, attending professional development seminars, and
    attending training and/or courses as directed by the senior executive.
  • Maintain documentation in compliance with district or state policies.
  • Explain and interpret college policies regarding transfer credits.
  • Review and correct student records based on established procedures to ensure accuracy.
  • Support responses to subpoenas according to policy in a timely manner and follow all legal
    guidelines associated with FERPA and other state and federal laws.
  • Maintain confidentiality of student records in compliance with the Family Education Rights and
    Privacy Act (FERPA).
    o Maintain confidentiality of information exposed to in the course of business regarding
    students, supervisors or other employees.
    o Maintain confidentiality. Maintain accurate records as required by accreditation
    agencies, school policies, and administrative regulations to ensure compliance with
    regulations, with a commitment to discretion and confidentiality, as appropriate.
  • Respond accordingly to issues related to academic policy, curriculum, and compliance with
    Federal laws and regulations, including FERPA.
  • Review student records per academic policy and recommend actions on probation and dismissal
    for academic reasons.
  • Input graduation application coding in SIS.
  • Review, check for accuracy, and interpret registration data housed in multiple management
    systems in order to provide problem resolution for students, the college, and the public.
  • Submit enrollment data to National Student Clearinghouse and resolve data reporting errors.
  • Work with audits for compliance and accuracy as needed.
  • Assist Registrar with graduation rehearsal and ceremony and preparations for these events.
  • Work closely and collaboratively with other administrators, departments, and faculty governing
    bodies and committees to educate, provide advice, interpret, and ensure compliance with
    existing MCCCD/MCC academic policies and procedures.

    15% Process and Implementation
  • Program and process development, project implementation, and evaluation; identify process
    gaps and opportunities for improvement; develop and help maintain eForms processes and
    systems, Student Information Systems (SIS) support.
  • Coordinate and lead multiple ongoing projects by supporting and managing the workflow of the
    Records & Registration processes; implement program and operational changes related to
    strategic planning; assess, support, and collaborate to improve backend admissions processes
    and procedures, utilizing technology by being solutions-oriented; aid in the resolution of
    challenging situations, including, student escalations and faculty and staff support; perform
    duties of advanced knowledge; coordinate the daily workflow of Admissions & Records team
    members.
  • Review transfer transcripts to ensure they are official; determine accreditation status of transfer
    institution; analyze transcripts to insure courses are acceptable; determine credit value of
    transfer credits and converts to semester hours; analyze course descriptions to convert transfer
    courses to university equivalents; prepare summary of accepted transfer credits; advise students and processes information on accepted credits; evaluate military service and non-
    traditional experiences for granting credit; prepare preliminary evaluations of graduation credits.
  • Run and evaluate Degree Audits to verify accuracy of the audit and transfer equivalency.
  • Conduct research, creating reports, cleansing data (including tuition calculation errors, program
    plan stack errors, grading errors, enrollment errors, graduating posting errors, anomalies,
    drop/withdrawal corrections, etc.).
  • As needed, support the dual-credit and other special population teams with enrollment/billing
    reports, admit and transcribe CTE, dual-credit enrollment, apply waivers, and input grades.
  • Process education verification requests.
  • Provide backup support for mass enrollment activities, PeopleSoft functions for gathering and
    summarizing data of departmental activities.
  • Assist Registrar with graduation rehearsal and ceremony and preparations for these events.
  • Support all Commencement and Graduation pre-activities by serving on the Graduation
    Committee, share the graduation candidate list with key offices, update Graduation web page (if
    necessary), answer emails sent to graduation email account, create a system to send graduation
    activity emails to the graduation candidates and present to graduate information to
    administration.

    5% Customer Service & Communication
  • Develop and provide clear and professional communications to employees, students, and
    community partners using a variety of formats including email, phone, and real-time chat
    services.
  • Respond to student, faculty, and staff inquiries in person, via email, and over the phone.
  • Provide guidance on policies related to records, transcripts, enrollment, and graduation.
  • Provide information on policies and procedures relating to transfer and veteran's credits,
    graduation, athletic eligibility, non-traditional credits and academic waivers to faculty, staff, and
    students; answer questions from other institutions regarding transfer credit policies; consults
    with department administrators regarding change; provide information to students during
    registration.
  • Assist the Enrollment Services team to provide excellent customer service to campus and
    community partners, including the Enrollment Services counter, campus events, and first-line
    communications via email, and phone.
  • Provide backup support to front-line admissions, records and registration duties when needed.
  • Handle complex, cross-departmental enrollment issues and facilitate resolutions for students,
    staff, and departments within established policies and procedures.
  • Respond to and resolve routine enrollment issues and other problems and escalate complex
    issues as needed. Make appropriate referrals to the registrar or outside of Enrollment as
    required to reach a resolution. Resolve ambiguities with historical course equivalencies and the
    current catalog.
  • Articulate outside agency evaluation of international credentials.

    5% Other
  • With delegated authority train, and assist new employees as needed to provide excellent
    customer service.
  • Participate in cross-training and professional development.
  • Handle special projects or assignments as needed.
  • Assist office with projects, assignments, events, and information collection as needed.
  • Serve on various executive boards, college and district committees (including locally, regionally,
    and nationally) as designated and participate in meetings and conferences.
  • Responsible for other reasonable related duties as assigned commensurate to the grade level of
    the position.

    Minimum Qualifications

    Associate's Degree from a regionally accredited institution and two years of student services or college teaching experience or experience assisting with educational program development and coordination, student advisement, financial aid, or related student development programs.

    OR

    An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

    Desired Qualifications

    A. Bachelor's degree or higher in any field from an accredited institution.
    B. Three (3) or more years of experience working in enrollment services, registration, admissions and records, cashiers, financial aid, academic advising, and/or welcome center in a college/university setting.
    C. Working knowledge of and experience in interpreting and analyzing transfer course equivalents and articulation/transfer processes.
    D. Experience with student services database (PeopleSoft, ConexEd, or any database or system used to support students).
    E. Experience with applicable laws, rules, and regulations related to higher education, including those related to student privacy and academic policies.
    F. Two (2) or more years of experience working with Google, Microsoft Office Suite and/or other reporting technologies.
    G. Effective customer service and relationship building skills with the ability to work collaboratively

    Special Working Conditions

    Work schedule varies during the year: August through mid-May: Monday - Friday, 8 hour days; mid-May through the end of July: Monday - Thursday, 10 hour days.

    May require working evening and weekend hours (example: Saturday coverage during peak weeks).
    This position is fully on-site, with no remote options.
    Required to sit for a prolonged period of time; viewing a computer monitor.
    May be required to travel or be assigned to another MCCCD location.
    Travel to campus during interview/selection process will be at candidate's own expense.
