Under the direction of the Director of Administrative Operations and the Executive Director of The Midwest AIDS Training and Education Center (MATEC), the Grants and Contracts Associate is responsible for all activities related to the complete lifecycle of sponsored program administration for the Department of Family and Community Medicine and MATEC. Responsibilities include proposal budget preparation, proposal submission, pre-award and post-award administration (both financial and non-financial) of grants, awards and contracts for research, educational development, community outreach, and/or service work. Position requires exercising initiative, independent judgement in identifying problems and taking appropriate action, attention to detail, minimal supervision, high level of accuracy, and excellent communication skills.

Duties & Responsibilities:

Oversees the pre- and post-award administration of Department grants, contracts, and subcontracts:
  • Prepares grant submissions, contracts, and subcontracts with guidance from faculty investigators and/or other research staff.
  • In collaboration with finance staff, monitor the financial status of the sponsored project enterprise within the Department; forecast cash requirements, cash flow, and spending rates; monitors, prepares and/or directs the preparation of monthly fiscal reports for departmental leadership and principal investigators.
  • Responsible for purchasing and invoice management for all department sponsored projects.
  • Serves as primary liaison between the Department and the Office of the Vice Chancellor for Research to ensure all Department sponsored project activity is compliant with university, federal, state, and sponsor regulations governing grants and contracts.
  • Collaborates with faculty, staff and key stakeholders to resolve issues related to sponsored grants and contracts.
  • Completes grant closeout requirements including a review of the final financial reporting.
  • Interprets and provides guidance regarding sponsor policies and regulations.
  • Contributes to the development, implementation, and analysis of policies, procedures, programs, objectives, and long-range planning related to research and sponsored programs.
  • Perform other related duties and participate in special projects as assigned.


Minimum Qualifications Required:

  1. Bachelor's degree in business administration, accounting, finance, economics or a field related to the position


Preferred Qualifications:
  • Experience in administrative and financial management of sponsored projects in an academic environment.
