    Job Responsibilities:
    1. Financial Oversight & Accounts Payable Workflow: Manages and maintains a procedure and inventory for renewing the majority of district software and licensing contracts, service agreements, and annual blanket POs. Obtains quotes, negotiates pricing, and ensures timely processing of renewals to prevent service interruption. Coordinates large purchases with internal departments and external groups.
    2. Vendor/Contract Management: Processes vendor invoices, expense reports, and check requests for payment. Matches invoices to purchase orders, codes them correctly, and obtains appropriate signoff.
    3. Purchasing Support: Enters and updates purchase orders, tracks order status, and responds to staff and supplier inquiries regarding orders, changes, or cancellations. Assists with compilation of annual budget by preparing reports and monitoring invoices and expenses.
    4. General Office & Executive Support: Provides administrative support to the Executive Director and department staff. Assists with HR tasks including corresponding with applicants and scheduling interviews/meetings. Identifies, analyzes, and recommends improvements for departmental processes.
    5. Inventory & Record Management: Establishes and maintains procedures and inventory of District technology purchases, service contracts, and archives. Orders department supplies and operates office equipment. Maintains confidentiality in all operations.
    6. Performs other duties of a similar nature or level.


    Qualifications:
    1. Experience in accounts payable, purchasing, and financial record keeping.
    2. Experience with databases and manipulating data for tracking and financial reporting.
    3. Previous experience working in a Purchasing, Accounting, or Technology Department role or equivalent experience.
    4. Experience in PC and general software and hardware troubleshooting.
    5. Working knowledge of Microsoft, Google, and Apple products.
    6. Evidence of excellent organizational and record keeping skills, especially related to financial documents and complex contracts.
    7. Evidence of the ability to work under pressure, prioritize and handle multiple tasks simultaneously.
    8. Attention to detail and accuracy in coding, tracking, and processing financial documentation.
    9. Able to maintain high levels of confidentiality.
    10. Evidence of troubleshooting skills and the ability to learn while doing.
    11. Evidence of strong customer service and human-relations skills.
    12. Evidence of strong communication skills (verbal and written) and interpersonal skills as applied to interaction with coworkers, supervisor, vendors, the general public, etc. sufficient to exchange or convey information and to receive work direction.
