Who You Are... As Employee Credentialing & Onboarding Specialist, you will be responsible for managing and standardizing the end-to-end onboarding process for field employees, with primary focus on meeting all customer site access and credentialing requirements. This role oversees the completion of background checks, drug screenings, certifications, physicals, and badging, and also supports employee record setup in UKG for the local branch. S/he will develop repeatable processes, provide onboarding status updates, maintain data accuracy, and collaborate closely with customers, employees, and internal leaders to ensure timely workforce deployment. This Position... Some examples of the work you might do includes:
- Manages all customer site credentialing requirements including, but not limited to, drug tests, background checks, certifications, physicals, and badging.
- Tracks credentials, expiration dates, documentation requirements, and renewal status.
- Enters and maintains accurate employee records in UKG for the local branch's field employees (including I-9 entry and verification).
- Ensures completion of onboarding forms, credentials, training, and employment documentation.
- Communicates onboarding status to employees, outlining what is complete, outstanding, and required next steps, to ensure timely onboarding completion.
- Develops, documents, and standardizes onboarding and credentialing workflows with future scalability to all branches.
- Identifies inefficiencies or inconsistencies and implements improved, repeatable processes.
- Generates onboarding and compliance status reports for leadership and field management.
- Maintains secure and organized digital records with discretion and confidentiality.
- Monitors onboarding data to identify delays or barriers and implements improvements that increase speed and readiness for deployment.
- Acts as the main point of contact for customer onboarding requirements while building and maintaining strong, professional relationships with customers and compliance partners.
- Maintains knowledge of trends, best practices, regulatory changes, and new technologies in Human Resources and employment law.
- Partners with the Corporate IT and Payroll Departments to help with UKG user experience.
What You Need...
- 2+ years of experience in HR coordination, onboarding, compliance administration, or related administrative support roles.
- Strong organizational skills with the ability to manage multiple onboarding files and deadlines simultaneously.
- High level of accuracy and attention to detail in data entry and documentation.
- Excellent verbal and written communication skills; comfortable following up with employees and external partners by email and phone.
- Customer-service orientation when working with customers, business partners, and employees.
- Ability to work independently, build structure, and maintain workflow with limited existing processes.
- Proficient in Microsoft Office Suite (Outlook, Excel, Word) and comfortable learning new systems quickly.
- Must have a valid driver's license.
- Must have a driving record compliant with the Company's policies and MVR requirements, and consent to ongoing driving record monitoring by the Company.
- Ability to travel up to 5% of the time.
Preferred Qualifications:
- Prior experience supporting field, skilled labor, construction, or service workforce populations.
- Familiarity with UKG or similar HRIS platforms.

Work Environment:
- This position operates primarily in a professional office environment, and routinely utilizes standard office equipment such as computers, phones, scanners, copiers, file cabinets, and postage/adding machines.
- When traveling to a local job site, intermittent exposure to the conditions typically associated with a construction sites may be experienced.
Physical Demands:
- In performing the duties of this job, the incumbent is regularly required to talk, hear, sit, stand, walk, perform repetitive motion, and possess an appropriate degree of both visual acuity and manual dexterity.
- This is considered a sedentary position, which means possible exertion up to ten (10) pounds of force occasionally, and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.
