Church Secretary - Job Description
Position Title: Church Secretary
Schedule: Tuesday-Thursday, 10:00 AM - 2:00 PM (some flexibility on days)
Reports To: Pastor
Position Summary
The Church Secretary supports the ministry and daily operations of the church by providing administrative, communication, and organizational assistance. This role ensures smooth office functioning, prepares weekly worship materials, coordinates church communications, and maintains essential records and publications. The ideal candidate is detail-oriented, dependable, and comfortable working independently in a small-office environment.
Key Responsibilities
Office & Administrative Support
  • Open and close the church office during scheduled hours
  • Answer incoming phone calls, check voicemail, and direct messages to appropriate staff or volunteer
  • Monitor and manage the general church email inbox, responding, filing, or forwarding messages as appropriate
  • Collect incoming postal mail, sort, and distribute to relevant individuals or areas within the church
Worship Preparation
  • Prepare weekly readings by copying First Reading, Psalm, and Second Reading onto individual Word documents
  • Format and print weekly reading for readability, including enlarged print and spacing for the scheduled Lector(s)
  • Prepare and produce and print weekly bulletins
  • Create weekly service powerpoint
  • Support Pastor in service preparation
Congregation Communication and Miscellaneous duties
  • Prepare stamped giving envelopes for ushers upon request
  • Review announcement requests and forward for approval
  • Maintain all upstairs bulletin boards, ensuring content is current and approved
  • Coordinate and compile and manage distribution of the monthly Herald newsletter
  • Collaborate with website developers, ensuring all content is up to date
Qualifications
  • Strong organizational skills and high attention to detail
  • Proficiency in Microsoft Word, email management, and online platforms (e.g., Sundays & Seasons, Google Calendar)
  • Ability to create organized, visually appealing PowerPoint presentations
  • Ability to work independently and manage multiple recurring deadlines
  • Strong written, grammatical and verbal communication skills
  • Ability to shift priorities and manage multiple tasks simultaneously
  • Friendly, professional, and comfortable working in a church environment
  • Experience in administrative support or office operations preferred
  • Able to maintain confidentiality and professional relationships with church clergy, staff and parishioners
  • Prior experience working with contracts a plus, but not required
