Job Description

This role supports the Office of Advancement - University Programs (UP), which includes Gift Planning, Regional Advancement, Corporate Relations, Foundation Relations, Graduate Education, Student Success, and the Chancellor's Fund for Excellence. The Senior Coordinator ensures that engagement goals are met in alignment with university priorities, timelines, and budgets. As part of the shared services support team, this position interacts regularly with alumni, donors, students, faculty, staff, and other stakeholders.

Key Responsibilities
Donor Engagement & Support

  • Coordinate donor engagement activities and events, including campus visits and advisory committee/society meetings (e.g., Gift Planning Advisory Committee, Legacy Society, Chancellor's Society, Corporate Roundtables).
  • Manage logistics for visits and events: scheduling, room reservations, parking, travel, catering, agendas, and materials.
  • Support special solicitation projects (e.g., LYBUNT outreach, near-qualifier campaigns), marketing distribution, and webinar logistics.
  • Assist with stewardship efforts, including impact reports and interim grant/gift reporting.
  • Collaborate with UP team leads and MarCom to manage social media platforms and create/edit posts.

Research & Data Management

  • Use MU databases and CRM to track corporate and foundation interactions, including philanthropy, recruiting, research, vendor relationships, and alumni connections.
  • Conduct funding searches using tools like Pivot and Foundation Directory; make strategic recommendations based on eligibility and competitiveness.
  • Monitor MU publications for notable research or projects with potential for external funding.
  • Maintain and update team web pages (e.g., Foundation Relations' Upcoming Opportunities and Early Career pages), including deadlines, guidelines, and descriptions.

Administrative Support

  • Provide administrative assistance: scheduling, calendar management, travel booking, conference registration, expense processing, and One Card reconciliation.
  • Enter contact reports and proposals into CRM, primarily for Corporate and Foundation Relations (CFR and FR) fundraisers.
  • Register for online funding portals and assist with funding request submissions.
  • Support proposal endorsement/nomination processes: scheduling, securing signatures, and drafting cover letters and cover sheets.
  • Manage Teams: maintain naming conventions, document retention plans, and organize project folders in all Teams Channels created for University Programs.
Shift

Monday-Friday, 8:00 a.m.-5:00 p.m.

Occasional travel and evening or weekend events required

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 1 year of experience from which comparable knowledge and skills can be acquired is necessary

Anticipated Hiring Range

Anticipated Hiring Range: $22.00 - $24.00 per hour
Grade: GGS 008
University Title: Advancement Associate II
