Job Purpose:

This position will provide high level administrative support for high volume producing Financial Advisors. Will assist with prospecting, reporting data, correspondence, research and marketing activities. Responsible for review of client data for proposals/illustrations and prepare prospect presentation. Will act as a mentor to other team members for training and support.

Job Duties:

  • Will provide high level administrative support for 2-3 high volume producing Financial Advisors.
  • Responsible for contacting clients to schedule annual reviews for financial advisor.
  • Will prepare reports, documents, and handouts for upcoming client meetings.
  • Responsible for scheduling weekly touchpoint meetings with Financial Advisor to provide updates on client status.
  • Responsible for researching Broker Dealer processes and developing procedures.
  • Will perform cost basis research in order to provide resolution to client inquiries.
  • Responsible for entering information into Client Onboarding system to open new accounts.
  • Will scan and monitor account documents for processing in Service Center Portal.
  • Will enter trade orders into the Consolidated Order Entry system as instructed by Financial Advisor or clients.
  • Will be responsible for monitoring and resolving client issue notifications from Alerts Portal.
  • Responsible for reviewing Cash/Securities Due Report with the Financial Advisor and will contact client to provide resolution.
  • Responsible for linking client accounts for the nature of relationships, mutual fund breakpoints and annuities.
  • Will review Annual Fee Next Month report with Financial Advisor and providing resolution to client account fee issues.
  • Manage routine client requests such as money movement, transfers, and updating client information and resolve any issues.
  • Collect and review paperwork for new accounts, account updates, and routine account maintenance as directed by the Financial Advisors.
  • Handle client money due situations for the Financial Advisors.
  • Prepare material for presentations, and for client meetings, including investment performance and allocations reports.
  • Coordinate routine and special mailings for the Financial Advisor, such as birthday cards, holiday cards, account reviews, and client notifications.
  • Assist with phone coverage for the Financial Advisors.
  • Document client related interaction in Contact Management System.
  • Assist with planning and conducting seminars as needed.
  • Act as a resource person for Contact Management System, Raymond James, Lotus Notes sales reporting and similar systems related to Trust & Investment sales.
  • Support assistant team by attending bi-monthly meetings, testing new technology, providing back up coverage, and mergers and acquisitions support when needed.
  • Will perform special projects as assigned.

Education, Experience and Job Skills:

  • High School Diploma/GED required.
  • Series 7 License preferred but not required.
  • FINRA and state major lines insurance licenses, and/or willingness to obtain those licenses; is preferred but not required.
  • Two years of experience working in a financial services environment is required.
  • Knowledge of Word, Excel, PowerPoint software and experience at adapting those to particular sales needs is required.
  • Must consistently produce work with a very high degree of accuracy.
  • Flexible in changing priorities and working on multiple projects at once.
  • Ability to prioritize work in a multi-task environment is essential.
  • Resourceful in finding information and solutions, and able to think ahead to next steps.
  • Must possess strong interpersonal, and communication skills, especially over the telephone.
  • Must be able to maintain positive experience for clients, and associates, regardless of workload.
  • Self-motivated individual with effective office Administration skills.

Basis Qualifications:

  • High School Diploma/GED required.
