Job Summary The Executive Assistant provides executive support to the Chairman and Chief Executive Officer and the Senior Vice President Investor Relations and Global Affairs. - Performs a variety of executive support tasks that may be highly confidential and sensitive in nature
- Serves as a liaison between Board members and internal teams to facility smooth communication and logistics
- Provides administrative support for Board of Directors, scheduling meetings and preparing materials
- Uploads and maintain Board presentations and documents in designated portal, ensuring accurate and completeness
- Performs daily administrative tasks: Distribute incoming and going mail, global calendar management, schedule meetings (Teams and onsite) via Outlook, processes invoices, maintains contact with vendors, maintains filing system
- Organizes and prepare materials for meetings, ensure meetings are appropriate for time zones, stay current on personnel changes, ensure all audio/visual equipment is set up
- Organizes various events, domestically and international, handle all logistics and arrangements, including invitations, catering, managing RSVPs
- Plans and coordinates international and domestic travel arrangements for executives, create travel trip itineraries, arrange for transportation and lodging and other needs while traveling
- Communicates with executives while traveling to ensure they are fully informed of all issues
- Completes expense reports following travel
- Coordinates executive staff calendar as needed, arranging appointments and meetings.
- Provides support to investor relations: management meeting coordination, investor relations events, conference and meeting coordination, earnings release and earnings call coordination, financial calendar management and communication
- Maintains CRM database to tract contact/outreach with analysts and investors. Prepare reports.
- Manages press release distribution and posting
- Manages all aspects of corporate aircraft scheduling, logistics, including maintaining accurate passenger manifests
- Serves as primary point of communication with the pilots
- Tracks and maintains accurate records of lobbying disclosures, filings and reporting requirements.
- Coordinates with internal teams to confirm timely submission of documentation
- Manages communication on behalf of executives by liaising with internal and external executives on various projects and tasks
- Maintain distribution lists
- Provides administrative support with creation of reports, power point presentations, excel spreadsheets, etc as needed
- Other duties as assigned
Minimum Qualifications
- High school diploma or equivalent required.
Preferred Qualifications
- 5+ years of experience working in Executive Staff functions preferred.
- Ability to maintain confidentiality at all times.
- Work well with others in a team environment.
- Highly organized; able to prioritize tasks by importance.
- Ability to multi-task while reporting to several top executives.
- Knowledge of proper etiquette in receiving callers, visitors, making appointments and using diplomacy and discretion when giving out information.
- Ability to type, use email, MS Word and Excel.
- Must be flexible; adaptable to change; maintain composure during stressful situations.
- Exceptional communication skills both written and oral.
- Self-motivated; self-starter; conscientious; good work ethic.
- Ability to interact with all company personnel as well as outside clients, customers, and vendors.
Physical Demands
- Frequently must sit for extended periods.
- Occasionally walk, bend, balance, or stoop.
- Regularly required to reach with hands or arms.
