Like shopping at Trader Joe's? Then, maybe you'll love working with us. We are looking for an experienced Events Specialist who is searching to do what they'll love! Do you have experience planning meetings and events from conception to execution? Do you love food? If so, read on! We may have the role of a lifetime for you!
Trader Joe's is unlike any place you've ever worked. Trust us on that. The qualified candidate has at least 3 years of meeting, travel, or event planning experience and is a raving fan of the Trader Joe's concept. A Bachelor's Degree in hospitality, event management, marketing, or a related field, or equivalent experience is strongly preferred. This role is based in our office in Monrovia, CA and we have an in office expectation of 5 days a week.
The Event Specialist is responsible for:
  • Planning company events from conception to execution. This includes sourcing, venue selection, vendor selection, and management (catering, floral, entertainment, A/V, etc.).
  • Researching and presenting appropriate destinations and venues for consideration to internal stakeholders and making recommendations based on those findings.
  • Leveraging industry experience and relationships to effectively negotiate event-related contracts and contractual terms with suppliers to ensure cost efficiencies are achieved.
  • Serving as the primary point of contact for hotels/venues and vendors.
  • Planning event-related travel and transportation.
  • Managing the invite and RSVP process for assigned events.
  • Creating and managing hotel rooming lists.
  • Communicating and engaging with the senior leadership team, delivering creative recommendations, and acting as the point of contact for the events that fall within the scope of this role.
  • Managing and tracking event budgets.
  • Providing onsite event coordination and on-call day-of support for events as needed.
  • Other team and individual projects assigned.
The Events Specialist has:
  • 3 to 5 years of experience in a meeting, travel, or event planning capacity, including negotiating and booking hotel contracts, food and beverage, and air and ground transportation.
  • Experience being highly organized, proactive, and detail-oriented.
  • Strong written and verbal communication skills.
  • Experience demonstrating good judgment, effective decision-making, and problem resolution skills.
  • Ability to maintain poise and professionalism under pressure.
  • Experience working well in a fast-paced environment.
  • Exceptional Microsoft Excel and Word skills.
  • Familiarity with meeting industry software (Cvent, web registration, travel booking, etc.)
  • Ability to travel and attend select events (required).
