The Shipping & Receiving Coordinator plays a key role in supporting daily operations through effective management of shipping, receiving, inventory, and purchasing activities across multiple locations. This position ensures accurate and timely movement of materials, maintains essential tracking systems, and supports workflow coordination for shop and field teams. The role also provides critical administrative support for safety documentation, warranty tracking, calibrated tooling logistics, and slip-ring shop processes. Responsibilities & Expectations:
The Shipping & Receiving Coordinator plays a key role in supporting daily operations through effective management of shipping, receiving, inventory, and purchasing activities across multiple locations. This position ensures accurate and timely movement of materials, maintains essential tracking systems, and supports workflow coordination for shop and field teams. The role also provides critical administrative support for safety documentation, warranty tracking, calibrated tooling logistics, and slip-ring shop processes. By maintaining organized records, facilitating smooth material flow, and collaborating closely with technicians, supervisors, and sales support, this position helps drive operational efficiency and dependable service delivery.
Shipping & Logistics:
- Prepare and package materials for shipment, including palletizing, boxing, labeling, and scheduling UPS or freight shipments.
- Apply shipping costs and parts to jobs in ACS and ensure all supporting paperwork (packing slips, shipping forms, etc.) is completed accurately.
- Coordinate pickup of parts and materials for technicians and field teams.
- Maintain shipment records and ensure timely, cost-effective delivery across multiple locations.
Receiving:
- Receive incoming materials and components in ACS and process associated paperwork promptly.
- Verify incoming shipments for accuracy, quality, and completeness.
- Route receiving documents appropriately to ensure timely job and inventory updates.
Inventory Management:
- Maintain a current list of components and parts (e.g., slip rings, bearings, capacitors) that are sent out or used on jobs.
- Ensure unused parts and customer cores are returned and accounted for.
- Oversee inventory transfers between IPS locations (e.g., DX to Norman and LB, LB to Litchfield, etc.).
- Monitor stock levels and proactively identify material or tooling needs to prevent shortages.
Purchasing & PO Entry:
- Create and process purchase orders for parts, tooling, and machine shop materials.
- Coordinate procurement of materials for field kits and shop projects.
- Track order status, reconcile invoices, and maintain accurate purchasing records in ACS.
Slip Ring Shop Support & Tracking:
- Track and follow customer-owned slip rings through the repair and refurbishment process.
- Communicate job status and updates to customers in coordination with the shop supervisor and sales support.
- Assist with quoting and invoicing slip ring repair jobs to ensure accurate billing and timely completion.
- Maintain reporting and performance tracking related to slip ring shop activity.
- Coordinate repair, inspection, and logistics for safety and calibrated tooling as needed.
- Maintain applicable tracking systems and databases as needed.
- Enter and update warranty-related information as needed.
- Assist with safety training documentation as needed.
- Assist with collection and enter required inspection records as needed.
- Assist with tracking completion of safety-related drills and activities as needed.
Qualifications and Competencies:
- High school diploma or GED required.
- 2-4 years of experience in shipping/receiving, inventory control, logistics, or operations support.
- Experience working in a manufacturing, service center, or industrial environment preferred.
- Familiarity with ERP systems (e.g., ACS, NetSuite, SAP) and ability to learn new software quickly.
- Proficiency with Microsoft Office (Excel, Outlook, Word).
- Knowledge of freight coordination, packaging standards, and basic material handling practices.
- Ability to operate or become certified on forklifts and other warehouse equipment (as applicable).
- Strong understanding of inventory processes, accuracy control, and cycle counting.
- Basic purchasing or PO entry experience is a plus.
- Valid driver's license: ability to occasionally travel between local facilities, if required.
Physical Requirements:
- Ability to lift and move packages or materials up to 50 lbs as needed.
- Comfortable working in a warehouse or shop environment with frequent standing, bending, and walking.

Pay Rate Details: $20/hr. - $32/hr.
