Responsibilities
Job Summary
The Payroll Clerk performs all editing, data entry and maintenance within the Time and Attendance and HR/Payroll systems, assuring the confidentiality, accuracy and security of all payroll records. Prepares and files both internal and external payroll reports and generate payments with supporting documentation where applicable. Works with management and staff to review time cards, clarify payroll related policies, and review department wage detail to ensure network payroll polices are understood and observed.
Essential Functions
- Using the electronic time and attendance system, processes time cards including auditing time cards with respect to accuracy, completeness, adherence to Policies and Procedures and ensuring all necessary approvals before processing; communicating with Supervisors and Managers to ensure full compliance with Policies and Procedures, COSO guidelines and procedures, and accurate and timely payment. Also responsible for the entry of pay corrections through the time and attendance system. Assists in the balancing of the interface from the Time and Attendance programs to the payroll software. Sends follow-up emails to management who did not approve their time card(s) noting the requirement for post payroll manual time card review and approval. Monitors compliance with auditor requirement for system wide time card approvals.
- Data entry using the HR/Payroll system, enters maintenance in an accurate and timely manner. Calculates retroactive adjustments for Personnel Action changes and time card corrections. Completes Excel spread sheets for import into the HR/Payroll system. Enters deductions and Federal/State tax election form maintenance into the HR/Payroll system. Enters the Direct Deposit information into the HR/Payroll system for new enrollees and enters changes and cancellations for existing deposit accounts. Enters additional employee deduction elections such as credit union, spa, and hospital deductions.
- Responsible for supporting the duties of the Payroll Specialists including answering the phones as assigned, keeping the phone log for all calls taken, processing terminations and completing the paid time off pay out spreadsheet, and scanning documents as assigned.
- Maintains department master forms. This includes, but is not limited to, Loan Assistance masters, import masters, garnishment and levy masters, and child support masters.
- Processes CAFE and GIFT shop import files and maintains reconciliation spreadsheets. Prepares and distributes auditor required quarterly on-call reports to management. Follows up to ensure managers properly complete and sign-off on the reports.
- Promptly processes departmental mail. This includes, but is not limited to, sorting, distribution, and delivery of Payroll mail to the Corporate mail room.
- Using the Network payroll bank statement, researches outstanding checks and initiates payee contact, and when possible, process a replacement check.
- Performs other related duties as assigned or requested.

- High School Diploma or GED - Required
Experience
- 2 years in payroll and time & attendance - Required
- 4 years in high volume payroll and time & attendance - Preferred
