Position Summary
The College of Pharmacy (https://hsc.unm.edu/pharmacy/) is seeking a resourceful, dynamic, and experienced individual to join its team. Since 1945, the College of Pharmacy has been educating students as the only College of Pharmacy in the state of New Mexico. We are top 5 in the U.S. in NIH funding for Colleges of Pharmacy, empowering groundbreaking research in environmental toxicology (human exposure to heavy metals and microplastics) and Substance Use Disorder, producing innovators who drive change in healthcare research.
The Research Administration Manager will be leading the College of Pharmacy's post-award grant management, coordinating post-award research administration efforts of our research-intensive unit. They provide direction, leadership, and advice in support of sponsored research activities; assist in development and training of other post-award grant administrators and accountants.
Duties and Responsibilities
  1. Leads post-award management of research funding, accurate and current labor allocations, and drafting sponsor-driven financial reporting.
  2. Collaborates to provide compliance assurance with university policy, federal regulations, and other codified governance in the conduct and administration of research. Provides expertise and advice to faculty and administrators regarding funding policies, rules, and regulations.
  3. Primary liaison with contract and grant accounting office and fiscal monitor for the College of Pharmacy.
  4. Primary liaison with sponsored project subawardees, facilitating financial status updates to the College PIs on balances and progress within invoicing and payment. Regularly follows up with subawardees and/or core office fiscal monitor(s) on the status of invoicing, maintaining subaward invoice logs
  5. Calculates accounting figures for carry-forward obligations, no-cost extensions, facilitates effort certifications, subaward invoicing, and manages coordinating losses on sponsored projects with bad debt expenses.
  6. Continuous improvement in institutional, regulatory knowledge and subject matter expertise that facilitates faculty and staff mentoring specific to NIH requirements.
  7. Provides dotted line supervision, mentoring, and training to program managers and senior research staff in support of Principal Investigators.
  8. Coordinates internal onboarding and training in post-award research administration, research tracking and funding usage, and special project outreach.
  9. Engages in succession practices to assist the transition of senior research staff.
  10. Assists the College of Pharmacy pre-award staff as needed in development of competitive proposals and pre-award administration of projects.
  11. Monitors and analyzes research budgets (including research pilot project budgets) and cost shares, works to resolve issues and provides a high degree of fiscal management, facilitates internal budget revisions and adjustments, assists with gap funding requests, oversees research related purchase orders, performs cost center accounting and reports. Meets regularly with College PIs to monitor grant spending (both internal and subawards), interpret budget reports for PIs, and oversees budget projections.
  12. Serves as liaison external agencies in a post-award role.
  13. Assists with the College's annual Research & Scholarship Day event and other research events as needed.
  14. Performs duties as assigned.

Minimum Qualifications

Bachelor's degree; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.



Preferred Qualifications
Preferred Qualifications (this will be used for the grading rubric of qualified candidates)
  • Current or former member of NCURA, NACUBO, or other, similar nationally recognized organizations
  • Demonstrated experience with accounting platforms and generating financial statements
  • Skilled in building, utilizing, and reporting custom spreadsheets with complex financial data
  • Served in a senior administrative role with multi-million-dollar budgets for sponsored projects
  • Experience with accounting for many positions with complex labor distributions and salary agreements
  • Experience with monitoring for compliance and federal regulation particularly the National Institutes of Health
  • Demonstrated history of managing complex personnel situations with emotional intelligence that achieve positive relationships in sustainable environments
  • Demonstrated work ethic in a high functioning area of research
  • Experience working with non-UNM collaborators (subawards)
