This position will support oncology clinics in Encinitas, Vista, and Murrieta.

DESCRIPTION

Under general supervision, the Clinical Assistant provides comprehensive administrative support for Oncology services, ensuring a high level of customer service and operational efficiency. Responsibilities include patient registration, appointment and surgery scheduling (including coordination with outside facilities), insurance verification, and related administrative duties.

Key Responsibilities

  • Provide exceptional customer service by answering multi-line incoming calls and assisting patients, families, and providers in a professional and courteous manner.

  • Complete online registration for new and established patients accurately and efficiently, adhering to established protocols and standards.

  • Schedule patient appointments and coordinate surgery scheduling with both internal departments and outside facilities as needed.

  • Verify insurance eligibility and obtain necessary authorizations and referrals for all scheduled services across Third-Party Payers.

  • Interview patients via telephone to collect demographic and insurance information to establish and maintain accurate patient accounts.

  • Operate the Epic system to input, update, and retrieve patient and appointment data.

  • Work collaboratively with clinical staff and faculty to ensure seamless communication and patient flow.

  • Maintain confidentiality and compliance with HIPAA and institutional policies.

  • Perform other related duties as assigned.

MINIMUM QUALIFICATIONS
  • Three (3) years of related experience in a large healthcare organization.

  • Experience working in a call center or high-volume phone environment.

  • Proficiency in updating registration.

  • Strong interpersonal, communication, and multi-tasking abilities in a clinical or administrative setting.

  • Excellent customer service skills.

  • Basic proficiency with computers and common software applications.

  • Familiarity with general medical terminology.

  • Strong organizational and prioritization skills in a fast-paced environment.

  • Demonstrated understanding of insurance and/or medical billing.

  • Demonstrated ability to navigate complex healthcare systems and collaborate with multiple providers to ensure continuity of care.

  • Experience in managing work queues and processing authorizations within a healthcare setting.

PREFERRED QUALIFICATIONS
  • Experience with surgery scheduling.

  • Experience with EPIC/media manager software.

  • Previous experience working in Oncology or any cancer-related clinic setting.

SPECIAL CONDITIONS
  • Must be able to work various hours and locations based on business needs.

  • Position will primarily float between Encinitas, Vista, and Murrieta clinics. If needed, it is required to float to any outpatient cancer services clinic.

  • Murrieta Clinic may require coverage once a week, with the opportunity to rotate with other colleagues.

  • Employment is subject to a criminal background check and pre-employment physical.

Pay Transparency Act

Annual Full Pay Range: $57,399 - $71,347 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $27.49 - $34.17

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
