Position Summary

The University of Missouri School of Medicine invites applications for a Program Manager I - Student Support Services in the Department of Family and Community Medicine (FCM).
This position oversees the Pre-Doctoral Education Division, including staff supervision and managing all aspects of pre-doctoral medical student and clerkship education within the department. The Program Manager is responsible for ensuring that all academic, administrative, and accreditation requirements are met for students participating in FCM clerkships and pre-doctoral medical education programs.
The Program Manager collaborates closely with faculty, staff, preceptors, and the MU Office of Medical Education to coordinate student schedules, didactic materials, evaluations, and reporting. The role also manages budgets, supports accreditation compliance, oversees student documentation, and maintains relationships with community partners and clinical rotation sites.

Key Responsibilities

Program Oversight and Administration
* Manage the planning, organization, and coordination of all FCM pre-doctoral training activities.
* Oversee the daily operations of the Pre-Doctoral Education Division, supervising a staff member.
* Provide administrative and logistical support to medical learners, faculty, and the Office of Medical Education.
* Ensure accuracy, completeness, and timeliness of student records, evaluations, and academic documentation.
* Maintain high levels of organization and effective written and verbal communication across stakeholders.

Accreditation and Compliance
* Maintain standards for accreditation in alignment with the Liaison Committee on Medical Education (LCME) and University of Missouri School of Medicine policies.
* Manage and organize documentation for national accreditation and serve as a resource for Program Directors regarding accreditation policies.
* Review and process student data to determine academic credit, degree eligibility, and clerkship compliance.

Budget and Fiscal Management
* Develop, monitor, and manage the annual budget for all pre-doctoral education activities and expenditures in coordination with the fiscal office and Medical Education Manager.
* Oversee and manage the departmental Mission Based Management (MBM) functions to ensure accountable operational alignment with both mission and budget for supplementary activities.

Partnerships and Relationship Management
* Serve as the primary liaison between FCM and external clinical partners to maintain strong relationships and rotation site agreements.
* Facilitate preceptor recruitment, onboarding, and orientation, ensuring required information for affiliation agreements is collected and maintained.
* Represent the pre-doctoral division in communications with both internal and external partners and stakeholders.
Scheduling and Educational Support
* Coordinate student clerkship and rotation schedules in collaboration with faculty, staff, and clinical partners.
* Oversee scheduling and administrative processes for learners from internal and external institutions rotating with Family Medicine.
* Track faculty precepting hours for student grades and reimbursement purposes.
* Manage lecture attendance, mandatory education activities, and evaluations for each block.
* Enter and maintain learner schedules in all required departmental platforms and systems.
* Purchase and proctor National Board of Medical Examiners (NBME) exams.
Meetings and Process Improvement
* Organize and facilitate weekly clerkship meetings and monthly steering committee meetings.
* Identify and implement process improvements to enhance operational efficiency, educational quality, and learner experience.
* Manage special projects as directed by the Program Directors and Medical Education Manager.

Other Duties
* Promote the FCM department and its programs as an outstanding choice for learners and future faculty.
* Support the overall success of medical education initiatives within the FCM department.
* Perform additional duties as assigned.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.

Education: Masters Degree

Anticipated Hiring Range

Salary Range:$52,915.20- $60,000.00
