Job Title: Fleet Coordinator

Location: Eagan Minnesota

Company: Interstate Companies Inc.

Pay Range: $25.00-$30.00/hour

Job Summary:

The Fleet Coordinator assists the Corporate Project Manager in overseeing the company's vehicle fleet operations. Key duties include managing vehicle-related tasks such as vendor coordination, ordering vehicles, tracking transfers and terminations, reviewing specifications, processing invoices, collecting mileage data, and handling fuel card administration.

Key Responsibilities:



  • Collaborate with fleet and compliance vendors.
  • Order new vehicles as approved by management.
  • Maintain accurate electronic records for vehicle orders, transfers, sales, fuel receipts, and invoices.
  • Communicate procedures for preventive maintenance, vehicle transfers, ordering, upfit requests, registration renewals, and fuel card usage.
  • Track vehicle assignments to drivers and jobs, ensuring accurate system updates.
  • Monitor vehicle order schedules and update specifications as approved.
  • Prepare monthly lease and registration invoice transactions for financial reporting.
  • Process weekly fuel invoice transactions for financial reporting.
  • Support telematics tracking initiatives.
  • Collect employee personal mileage data twice yearly.
  • Coordinate vehicle licensing and tab renewals with internal and external partners.
  • Proactively assess fleet for aging vehicles and recommend actions to management.
  • Work with branch management and vendors to coordinate vehicle accessory upfits.
  • Arrange vehicle deliveries as needed.
  • Order and distribute Proof of Insurance cards annually and as required.
  • Assist with annual vehicle insurance audits by identifying new and sold vehicles.
  • Perform additional tasks or projects as assigned.

Qualifications:



  • Bachelor's degree or equivalent experience.
  • Prior experience as a Fleet Coordinator is preferred, with a strong understanding of fleet operations and logistics.
  • Strong organizational and time management skills.
  • Excellent interpersonal skills with a focus on discretion and confidentiality.
  • Proficiency in Microsoft Excel and Office Suite.
  • Effective written and verbal communication skills.
  • Creative problem-solving and multitasking abilities.
  • Ability to manage multiple projects and meet deadlines.
