Position Description:

As an Administrative Associate in Emergency Medicine perform routine and advanced administrative duties requiring considerable skill and in-depth knowledge of organizational policies and procedures, under the direction of the Department Chair and department leadership.

Primary Functions

  • Screen telephone calls and greet visitors to the Department and Department Chair's office.
  • Resolve complex inquiries relating to chair support and department issues.
  • Manage Department Chair's calendar, coordinate meetings, and prepare pertinent agendas or materials.
  • Anticipate and initiate action regarding administrative functions while coordinating and leading projects.
  • Coordinate and perform status reports, project reports, and other types of information regarding special projects.
  • Serve as key point of contact for a variety of audiences and independently compose e-mail and other correspondence.
  • Compose correspondence as needed, which may contain confidential information.
  • Conduct research, compile data, and prepare presentations and reports for leadership review.
  • Create complex workflow charts, spreadsheets, databases, macros, and templates.
  • Create reports, presentations, minutes, letters, memos, and forms as needed.
  • Proofread and format documents to ensure accuracy.
  • Coordinate schedules, meetings, appointments, and travel itineraries and related arrangements.
  • Compile data and information from multiple sources to prepare reports.
  • Process payment requests, requisitions, and invoices
  • Assist in monitoring expenditures.
  • Distribute mail and organize filing systems accurately maintaining records.

Knowledge - Skills - Abilities

Knowledge of computers, clerical procedures, customer service standards, collaboration, and information management.

Organization, time management, interpersonal, communication, and problem solving skills.

Appropriate experience may be substituted on equivalent basis

Minimum Required Education: Associate's degree

Minimum Required Experience: 3 years

Preferred Education: Bachelor's Degree

Preferred Experience: 5 years of experience
