The Reproductive Health Supplies Coalition (RHSC) is a global partnership of more than 550 public, private, and non-governmental organizations dedicated to ensuring that all people in low- and middle-income countries can choose, obtain, and use affordable, high-quality supplies and related services to ensure their better reproductive health. Our global Secretariat is staffed and managed by PATH.

The RHSC is currently recruiting a well-organized, proactive Senior Program Assistant (PA) to provide essential administrative and programmatic support to ensure smooth project implementation. The Senior Program Assistant will be based in PATH's Washington, DC office. The Senior Program Assistant will have the opportunity to work closely with the Director of RHSC and its governing Executive Committee. This position provides the opportunity to develop project management skills and research experience in a large international NGO while providing essential coordination and support to project staff.

Specific duties and responsibilities

  • Communications:

    • Assist with formatting and proofreading documents, presentations, tools, guidance, reports, and other communication materials.

    • Assist with project communications including researching dissemination channels, and assisting with quarterly donor reporting.

    • Draft correspondence to donors, partners, and collaborators including cover letters, thank-you letters, and general email correspondence.

  • Scheduling and Logistics:

    • Support RHSC implementing mechanism technical officers and Director to schedule and coordinate internal and external meetings (virtual and in person), webinars and events including logistics including but not limited to: scheduling, managing RSVPs, agenda preparation/circulation, compiling and organizing relevant meeting materials, coordinating technology to accommodate remote participation, using audience engagement platforms like Mentimeter or Mural, capturing, filing and disseminating meeting minutes, capturing attendee contact information, and tracking action items and follow-up activities, as directed.

    • Assist RHSC Director, Executive Committee, or consultants with travel arrangements and expense reports, teleconferences, and complex schedule coordination.

  • Knowledge Management

    • Provide knowledge management support, utilizing Microsoft Teams, SharePoint, Box, OneNote, Salesforce and Smartsheet, and maintain and update these resources as needed.

    • File key documents and support maintenance of knowledge management systems in accordance with established structures.

  • Contractual:

    • Provide administrative support during review of incoming proposals.

    • Assist with completion of administrative forms and tracking credit card or other receipts

    • Coordinate the drafting, editing, proofreading, and production of various documents, presentations, and communications materials intended for internal and external audiences to ensure quality, including creating production calendars and ensuring submission deadlines are met.

  • General:

    • Collaborate with RHSC Operations team to ensure smooth coordination of team schedule and project activities in different offices.

    • Assist project leads with project management tasks (e.g. creating project timelines, Gantt charts, work breakdown structures), tracking project deliverables, and donor reporting.

    • Provide backfill support for Program Assistant or other team members as requested

    • Perform other tasks as assigned, and in alignment with team priorities.

Required skills and experience

  • Bachelor's degree preferred plus 2-4 years of directly related administrative and program support experience, or an equivalent combination of education and experience.

  • Excellent interpersonal and intercultural skills and ability to work in a multi-cultural work environment

  • Intermediate to advanced proficiency in MS Office Suite required, particularly Outlook, Word, Excel, PowerPoint, OneNote, and SharePoint. Experience desired in additional cloud-based collaboration tools such as Smartsheet, Mentimeter, Mural

  • Proven effectivesupport for multiple individuals and adaptable to changing priorities.

  • Strong organizational and prioritization skills, but also adaptable to changing priorities; high level of attention to detail; effective under deadlines.

  • Excellent verbal and written communication and interpersonal skills.

  • Excellent proofreading and editing skills.

  • Ability to work with and juggle tasks and priorities of multiple teams across diverse backgrounds, including over geographical distance and time zones, and various professional levels.

  • Collaborative working style with the ability to independently and proactively initiate and coordinate projects across departments within a large organization.

  • Proven effectivenessworking in a team environment with minimal supervision.

  • Ability to be proactive and anticipate potential issues.

  • Self-directed, balanced with initiative to secure adequate information to complete tasks.

  • Proficiency in French or Spanish is a plus

We offer our employees a competitive salary and generous benefits. For candidates based in the U.S., the annual salary range for this position is $ 60,000 - $ 75,000.

The final salary is based on a variety of objective factors.

Hybrid Work
PATH operates within a hybrid workplace model unless otherwise noted. Hybrid employees must reside within commuting distance of one of our PATH offices. PATH's US offices are located in Seattle, WA, and Washington, DC.
