Purpose

This position will provide executive level, professional support for the Associate Dean for Student Affairs in the College of Liberal Arts and will assist with a large volume of highly complex administrative matters with a university-wide scope.

Responsibilities
  • Coordinate with COLA HR, Finance, and administrative teams to ensure effective management of and compliance for all administrative operations related to Student Affairs. Duties include, but are not limited to: payroll, human resources, employment recruitment, purchasing, payment vouchering, account reconciliation, reporting, inventory management.
  • Maintain and communicate unit budget priorities and ongoing financial forecasting to ensure fiscal health of unit. Lead program assessment, data analysis, reporting, and program improvement to support effectiveness of all Student Affairs initiatives. Maintain effective collaboration for professional development, supervision, and leadership of Student Affairs staff, empowering professional teams that are well equipped to meet student needs. Cultivate and sustain a culture of excellent customer service to students, alumni, faculty, staff, and prospective students.
  • Manage special projects as assigned by the Associate Dean. Provide administrative support for Associate Dean including external and internal communications, scheduling, note-taking, strategic and material support, and planning needs for Student Affairs operations, projects, and committee work. Provide direct support for various college and university committees including, but not limited to: COLA Student Affairs committees, UT Student Affairs committees, CARE Committee, and Orientation.
  • Serve as advisor to the Associate Dean and support effective operations across portfolio. Work closely with stakeholders across the COLA community including in the Dean's office and departments (Chairs, Directors, business managers and staff) to achieve optimal coordination of all activity regarding undergraduate education. Work with the Associate Dean to develop and provide ongoing project coordination for new and existing programs, and any new initiatives developed by University and College administration.
  • Lead all aspects of event execution and planning for Student Affairs staff including, but not limited to, annual staff retreats, regular staff mixers and appreciation, and celebrations. Work with the Dean's Office Event team to execute all student-facing events including, but not limited to, Commencement, Gone to COLA, Honors Day, and Dean's Distinguished Graduates.
  • Direct, manage, and supervise administrative staff.
  • Other related functions as assigned.
Required Qualifications

Bachelor's degree and at least five years of experience performing advanced administrative functions. At least three years of experience supervising employees. Demonstrated ability to maintain fiscal management of an office or department. Experience with Workday. Very strong attention to detail. Ability to work in a fast-paced environment with multiple ongoing deadlines. Demonstrated problem-solving skills and be a self-starter. Excellent interpersonal, conflict management, and organizational skills. Outstanding oral and written communication skills. High level of proficiency with Microsoft Office programs: Excel, PowerPoint, Word, Outlook.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Additional experience beyond required qualifications, including oversight of department budgets. Experience using advanced features of UT Box, DocuSign, and extensive Workday knowledge as an HR Partner. Knowledge of and interest in program assessment and business process improvement. Master's degree or doctoral degree in higher education administration, student affairs, or related field.

Salary Range

$90,000 + depending on qualifications
