Payroll Specialist - Remote

Pay: The anticipated salary range for this position is $70,000-$75,000 per year, depending on experience and qualifications. Compensation is determined based on a variety of factors, including relevant work experience, the skills required for the role, internal equity, market competitiveness, and budget considerations. Schedule:
Full-time, 40 hours per week

Shift times: Monday-Friday, 8 hour shifts with flexible start time confirmed with manager, but must cover core hours of 9:00am-3:00pm CST.

Job Summary:

Under the supervision of the Controller, the Payroll Specialist will manage the payroll process, compile payroll statistics, maintain payroll records, liaise with payroll systems providers and partners in Human Resources, and perform audits and reviews of all required payroll deductions. As a member of the Finance & Accounting department, the Payroll Specialist is responsible for managing the accurate and timely processing of all payroll information. They are an essential member of the Finance Team, which supports the mission and strategies of Planned Parenthood North Central States. The individual is an advocate and leader in implementing our mission in "Advancing and protecting sexual and reproductive health care for all." They may perform other duties as assigned.

Minimum Qualifications:



  • Associates degree or equivalent experience.
  • 2+ years' experience with multi-state payroll administration required.
  • Experience in annual audits, various payroll filings, new state registrations.
  • Strong attention to detail, highly organized and solid knowledge of payroll and benefit principles.
  • Well-developed written and verbal communication skills.
  • Ability to successfully interact with people at all levels of the organization.
  • Strong experience with Excel and HR systems.


Your Day-to-Day Responsibilities:

Payroll Processing



  • Perform complete and accurate processing of biweekly multi-state payrolls for exempt and non-exempt employees
  • In coordination with partner in Human Resources, manage the functions of payroll operations including salaries, benefits, exceptions, court ordered deductions, and payroll taxes for all Agency services and programs.
  • Research and gather required documents to set up new states in payroll system that meet payroll related state and local requirements along with state and local registration.
  • Manages regular preparation of payroll reports for Senior Management, Human Resources and Finance departments on a weekly, monthly, quarterly, or year-end basis as applicable.
  • Maintains employee confidence by responding to employee payroll-related questions and resolve issues in a timely and professional manner.
  • Assist with providing payroll information for audits and internal control reviews for the Payroll processing cycle.
  • Provide payroll data reports for Worker's Compensation renewal policies and annual Worker's Compensation audit
  • Prepare payroll and benefit related general ledger entries, coordinating with vendors and partners in Human Resources for support related to all direct payroll journals, including bank transactions.



Process Systems and Controls




  • Responsible for adherence to all governmental reporting and regulations and maintenance of sound control processes to protect company assets and advise Management of needed actions
  • Initiates and controls efforts and procedures to maintain data integrity
  • Identifies key and/or recurring issues, including systems set up and other issues, and assists in resolution through working with vendors on configuration, training and/or policy and procedural solutions
  • Review and analyze current payroll and benefits administration processes and tax procedures and recommend changes to Company policies resulting in best practices
  • Approves workflows for direct deposit and W-4 changes in HRIS
  • Managing Workforce Management system, assisting managers with issues with the system, resolving problems, reviewing overtime hours, multiple pay rates, inappropriate classifications, and supervisory signoffs.
  • Administering and processing all payroll changes for new hires, terminated employees, and employees receiving promotions, demotions or raises, through the system based on supervisor approval and plan guidelines.
  • Direct oversight and preparation of various payroll reports, such as: G/L reports, earnings reports, hours, and earnings per month for various departments, as well as sending departments various payroll data reports upon request.
  • Maintaining personnel files as they relate to payroll.
  • Identify problems and compliance issues and coordinate implementation of corrections with internal team members.
  • Regularly auditing our payroll files to ensure the accuracy of employees' records. Responsible for compiling accurate and timely data for annual payroll and other audits.
  • Providing customer service to all staff members regarding payroll daily. Advising managers and staff members as to the appropriate policies and procedures regarding compensation.
  • Provide initial and ongoing training for management on time management system.
