Project Manager / Coordinator



  • Accurate intake of assigned projects for creative projects; may include initiating projects on behalf of creative leads
  • Using Workfront project management tool, supports high level project planning, task planning, resource management and budget monitoring in alignment with creative lead.
  • Efficiently manages multiple projects and deadlines simultaneously with an eye on identifying potential project issues proactively.
  • Closely collaborates with creative lead and Comms team to forecast and deliver impactful creative for requestors.
  • Engages directly with clients and manages scope creep with creative lead oversight.
  • Comfortable and proficient in working with senior and executive level management, including leading meetings when necessary.
  • Capable of navigating "difficult" conversations and steering conversations to solution-oriented outcomes.
  • Oversees efficient workflow processes to ensure focus area is delivering successful deliverables
  • Develops reports as needed.
  • Oversee administrative tasks in support of creative lead and project owner. Examples include - create and monitor Workfront project, schedule meetings, purchase orders, estimates, reports, production timeline, procurement.
  • When necessary, communicate on behalf of creative lead with integrated marketing lead to share status updates on projects.
  • Monitor project health with creative lead daily.
  • In collaboration with the creative lead, coordinate allocation of project resources and ensures the team has what it needs to complete deliverables.
  • Foster cross team collaboration
  • Create project in Workfront, add description of the project and objectives based on creative brief.
  • Add deliverables then list tasks needed to complete each deliverable with estimated start and finish dates including cost center.
  • Set up library project folder and include library file path on server
  • Assign resources as per creative lead direction or resource capability. If needed assign an external resource.
  • If needed, gather estimates and share with all team members as needed. Add estimates to WF project and submit to BOT as well as library folder.
  • Schedule a regular cadence of tag-up meetings with creative teams.
  • Schedule and lead daily 15 min scrum with BU creative team to discuss priorities for the day, successes and possible roadblocks.
  • Partner with creative lead to gather copy/content including specs for print/digital deliverables.
  • Partner with CDL to move project along from one resource capability to another.
  • Before sharing deliverables with requestors, ensure creative alignment withcreative lead and that all requirements have been met.
  • Ensure all final files are delivered and placed in correct library folders before closing out a project. Must include design working files in library folder.
  • If new photography or video project, partner with CDL and IML to upload to DAM.
