Position Highlights

The Department of Obstetrics and Gynecology provides comprehensive clinical care for women while conducting state-of-the-art research and outreach to local, rural, and international communities. In addition, its faculty members deliver outstanding educational programs through five specialty divisions.

The Executive Assistant will provide comprehensive administrative support to the Department Chair of the Department of OB/GYN. Responsibilities include managing schedules and communications, coordinating departmental activities and events, preparing meeting materials, processing financial and personnel documents, and maintaining confidentiality in all matters. The incumbent will liaise with faculty, staff, hospital partners, and university leadership to facilitate smooth department operations and support the Chair's strategic and academic priorities.

Duties & Responsibilities
  • Provide administrative support to the Department Chair of the Department of OB/GYN. Job duties include but not limited to managing Chair calendar, coordinating meetings with UA and Banner leadership, Division Chiefs, and faculty of the department, coordinating travel arrangements and travel reimbursement for Chair, processing license & membership renewals, PowerPoint slides preparation, and grant preparations and submissions.
  • May provide administrative support to other departmental faculty as needed and assigned.
  • Provides administrative support for the department Promotion & Tenure committee and for faculty who are going through the UA promotion process.
  • Department point of contact for Department Strategic Plan eSubmission and eReporting Dashboard.
  • Leads the on-boarding/recruitment process of new faculty.
  • Coordinating the ordering of office supplies, managing the department PCard, paying vendors, and processing Disbursement Vouchers.

Minimum Qualifications
  • Minimum qualifications Bachelor's degree or equivalent advanced learning attained through experience.
  • 1-year relevant experience is required.
Preferred Qualifications

  • Preferred 3 years of experience supporting executive-level leaders.
