Job Description:

Thunderbird School of Global Management is seeking a dynamic and detail-oriented professional to join the Business Office team. In this role, you’ll play a key part in supporting the school’s financial operations by performing a variety of technical and clerical accounting functions. Essential Duties:

The successful candidate will be responsible for and have duties in the following areas:

P-Card Support & Oversight:

  • Verify transaction documentation for accuracy, completeness, and compliance with university policies and applicable sponsor regulations.

  • Train p-card users on university procedures and best practices.

  • Serve as a liaison between the college and ASU’s Central Supply Chain Office regarding p-card transactions and policy adherence.

Vendor & Contract Support:

  • Assist in the supplier setup process to ensure accurate and timely onboarding.

  • Process supplier consulting and speaker agreements in accordance with university guidelines.

  • Review and process accounts payable transactions submitted via p-card.

Salesforce Data Maintenance:

  • Update Salesforce with accurate invoice and payment information to support transparency and financial tracking.

Financial Reporting & Reconciliation:

  • Assist in the reconciliation of expense accounts monthly, investigate discrepancies, and make necessary corrections.

  • Prepare recurring and ad hoc financial reports, summaries, and reconciliations.

  • Maintain and update the chart of accounts and internal business forms to reflect current needs and ensure data integrity.

Team Collaboration:

  • Communicate regularly with department staff, faculty, and other stakeholders to resolve issues, provide updates, and offer guidance on accounting-related matters. Provide backup support for travel expense reviews and approvals, ensuring compliance with university travel policies.

  • Handle sensitive financial data with discretion and always maintain confidentiality.

  • Assist senior accounting personnel with more complex or specialized assignments as needed.

Desired Qualifications:

  • Knowledge of accounting and budgeting practices and principles.

  • Experience with accounting software Workday and CRM software Salesforce.

  • Intermediate knowledge of Microsoft Office Suite applications: Word, Excel, and Outlook.

  • Knowledge of principles and methods of statistical analysis as applicable to budget process.

  • Skill in coordinating activities and establishing priorities.

  • Skill in both verbal and written communication.

  • Ability to work effectively in an environment subject to tight deadlines and quickly changing priorities

  • Skill in preparing and presenting detailed financial reports clearly to diverse audiences across the organization.

Working Environment:

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse (75%); required to stand for varying lengths of time and walk moderate distances to perform work (10%).

  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds (5%).

  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.

  • Ability to clearly communicate verbally, read, write, see and hear to perform essential functions.
