We are excited to add a Donor Review Coordinator to our Recovery team! This role will pay a an hourly rate between $23.00- $29.00 hourly based on experience and other factors.

POSITION SUMMARY:

Review recovery donor chart records to ensure accuracy, quality, and completeness of files in accordance with FDA regulations, AATB standards and MIMEDX SOPs. Coordinate the daily flow of charts for proper and timely review/approvals, and work with recovery team to resolve issues or errors and obtain missing information. Identify and recommend improvements to overall quality of recovered tissue, processes, and the placenta donation program, and assist in implementing effective solutions/corrective measures. Provide training support to new and current DRS (Donor Recovery Specialist) team members, to help ensure adequate completion of donor documentation. Work with Quality Assurance's Donor Eligibility team when necessary, to receive guidance before a chart is sent back to a DRS for a correction or a chart is released to Donor Eligibility for their review. Track and report on data related to the tissue recovery process.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Coordinate Daily Operations of Chart Review



  • Perform in-depth Preliminary Reviews of new hire charts upon arrival to ensure accuracy, quality, and completeness of files in accordance with FDA regulations, AATB standards and MiMedx SOPs. Assesses applicable eligibility for each donor chart for Good Documentation Practices and Data Integrity Practices.


  • Monitor the Aging Donor Report daily to ensure that chart corrections are completed accurately and in a timely manner prior to tissue expiry.
  • Work closely with QA/Donor Eligibility staff members, fostering a team-oriented work environment, to monitor information needed to complete donor chart follow-ups.
  • Use courteous, timely, appropriate and effective communication methods for both the Recovery and QA departments.
  • Initiate all chart follow up tasks within 3 business days.
  • Work in conjunction with the Field Recovery team to address & resolve chart corrections as soon as possible, but more specifically prior to the turn-in date.


Recovery Donor Tracking from Review to Release*



  • Coordinate the daily flow of charts for proper and timely review/approvals, and work with recovery team to resolve issues or errors and obtain missing information.


  • Lead and facilitate the follow-up process to ensure timely resolution by addressing clarifications or omissions with recovery team and guiding Recovery personnel on making regulatory-compliant corrections to the donor record. Determines readiness of the donor record for progression to the next review step, using defined protocols.


  • Prioritize chart review to meet production and distribution needs by determining donor age and monitoring status of donor charts by utilizing Recovery reports.
  • Track and reconcile donor chart data within the software systems (Aging Report, Daily Donor Received Report, and Deferral Report).


Develop Process Improvements and Measure Trends



  • Analyze current process within Donor Chart Review to distinguish areas of improvement and propose effective solutions/corrective measures.
  • Identify common trends related to chart follow-ups (reason/owner) and recommend improvements to decrease chart follow-ups due to missed information and/or errors that will lead to donor deferrals.
  • Continuous communication with Recovery Management to troubleshoot issues, gaps and trends that affect Donor Recovery and execute a plan of action in a timely manner.


Recovery Training and Support



  • Provide real-time feedback and training support to the Recovery Team to help decrease donor chart errors and controllable deferrals.
  • Work closely with the Recovery Trainers to provide support for all new and current hires.
  • Interface with QA/DE for understanding new/updated donor eligibility criteria so that training can be executed in a timely manner.
  • Support recovery operational functions at HQ, field hospital coverage, and training support on an as-needed basis.
  • Manage Administrative functions of the Recovery iTransplant software, to support the use of the software by the field Recovery, Chart Review and Donor Eligibility teams.


  • Uses courteous, timely, appropriate and effective communication methods for both the Recovery and QA departments

  • Ensures that work is performed consistently within the boundaries of Company policies and procedures, and regulatory standards



SPAN OF CONTROL/COMPLEXITY:



  • Heavily involved in day-to-day reviewing of donor charts upon tissue receipt at HQ
  • Fully functioning support role having greater responsibility to perform all (or most) of the standard work within the function; moderate impact to the department



EDUCATION/EXPERIENCE:



  • 3-4 years of experience in tissue banking or similar industry
  • Prefer degree in science or medical related field (e.g. Biology, Nursing, Medical Assistant). Other types of professional experience may be considered if they demonstrate transferable skills and relevance to the responsibilities of this role
  • Prefer prior knowledge of Good Documentation Practice (GDP), Good Tissue Practice (GTP), Good Manufacturing Practice (GMP) and AATB regulations
  • Multilingual candidates are encouraged to apply; proficiency in Spanish is considered an asset



SKILLS/COMPETENCIES:



  • Excellent oral, written, and interpersonal communication skills - and ability to effectively work and interact with all members of the quality and tissue recovery functions
  • Organized, flexible, and able to multi-task while maintaining a high level of efficiency and attention to detail
  • Ability to think independently, make decisions, and demonstrate analytical skills
  • Ability to apply acquired job skills and company policies to complete tasks with minimal supervision and adapt to situational needs
  • Must show a strong understanding of recovery protocols
  • Proficient in Microsoft Suite (Excel, Word, PowerPoint, Outlook, Teams)
  • Must demonstrate a commitment to ethical standards and donor dignity

  • May experience odor from donor tissue/samples from sound rounded areas
