Job Overview

The CRM Database Administrator plays a critical role in supporting the Foundation's fundraising and donor engagement efforts by managing and optimizing the organization's Customer Relationship Management (CRM) system, currently Blackbaud CRM. This position ensures the integrity, security, and usability of donor and fundraising data, enabling data-driven decision-making across the Foundation. The CRM Database Administrator is responsible for supporting integrations, ensuring data integrity support accuracy of reports and dashboards, and providing training and technical support to users. This role collaborates across departments and contributes to data governance and AI-readiness initiatives, reporting directly to the Vice President of Operations.

Duties & Responsibilities

Database Management & Maintenance.

  • Administer Blackbaud CRM to ensure data flow and usability across the Foundation
  • Perform regular updates, troubleshooting, and system optimization to improve usability and outcomes.
  • Develop and oversee data integrity standards, insuring accurate and current data across the platforms.
  • Evaluate, plan, and execute the implementation of third-party enhancements and data hygiene.
  • Collaborate on the design and maintenance the CRM data warehouse.
  • Ensure compliance with enterprise information security standards and implement best-practices for data integrity and information security.
  • Establish standards for data entry and validation.
  • Recommend and implement optimizations and customizations for the CRM and related systems.
  • Plan and execute upgrades and patches
  • Recommend, test, and implement new features
  • Participate as a member of the data governance advisory group (DGAG) and ensure ongoing AI-readiness for Foundation in collaboration with key partners

Reporting & Tracking

  • Gather requirements for reporting, tracking, and analysis from Foundation team members.
  • Ensure database is organized in a way that meets users' needs.
  • Build and maintain queries, standard reports, and datasets that aid in data analysis and visualizations.
  • Create and maintain processes and workflows to sync data between systems and tools.
  • Collaborate with others to create dashboards, reports and other analyses to engage effectiveness, engagement, and overall impact

Training & Support

  • Manage user access, roles, and permissions within the system.
  • Provide initial training to new users and ongoing support and training refresh to Foundation employees and third-party users of the system.
  • Maintain documentation for system configurations, processes, and updates.
  • Address technical issues, assist in troubleshooting, and facilitate communication and support needs with contractors and vendors as required.

Integrations and Efficiencies

  • Ensure seamless integrations between systems and software used by the Foundation.
  • Identify and promote opportunities for automation and enhanced efficiency.
  • Promote best practices for data security, industry regulations, and information management.

Minimum Qualifications

  • Degrees
    • Undergraduate Degree
  • Experience
    • A minimum of three years' user and/or administrator-level experience in Blackbaud CRM.
    • Demonstrated experience, knowledge, and understanding of data governance, privacy regulations, and information security best practices.
    • Knowledge of data gathering, cleaning, and transformation techniques.
    • Ability to use discretion and appropriate safeguards with confidential data.
  • Equivalency
    • at least 2 additional years of user and/or administrator-level experience in Blackbaud CRM for a total of 5 years-experience if no degree.
  • Preferred Qualifications
    • Prior working experience in a non-profit and/or fundraising environment.
    • Bachelor's degree in information technology, Computer Science, Data Science, Business Intelligence, or another related field.
    • Prior experience working with SQL databases and managing system backups
    • Prior experience as a database administrator
    • Familiarity with data warehouse design
    • Experience with Microsoft administration and tools (e.g., Office365, Azure Active Directory, SQL, and PowerBI)

Salary Information
Pay is dependent on applicant's relevant experience.

Annual Salary Range (Based on 40 hours worked per week): $79,000.00 to $103,000.00
