Position Summary:

This position is primarily responsible for performing a wide range of administrative, clerical, and executive support related tasks for the CEO and their direct reports. The ideal candidate for this role must be exceedingly well organized and flexible. This individual must be able to function effectively in a variety of roles within a dynamic environment under minimum supervision. This is the perfect role for someone who enjoys the administrative challenges of supporting small executive offices of diverse people,.

Key Responsibilities:



  • Manage the CEO's and C-suite's daily schedule and duties, to include managing calendar, commitments, and travel arrangements (planning itineraries, developing agendas and meeting materials, reporting expenses, etc.)
  • Prepare documents, expense reports, memos, letters, reports, graphic presentations, and spreadsheets using MS Word, Outlook, Excel, and PowerPoint.
  • Maintain appointment schedules/calendars, scheduling appointments, coordinate meetings, conferences, and make travel arrangements.
  • Compile and prepare a variety of documents, presentations, or other materials for board meetings.
  • Organize and maintain files concerned with confidential and restricted data.
  • Update and maintain office policies and procedures.
  • Order office supplies and research new deals and suppliers.
  • Maintain contact lists.
  • Book travel arrangements.
  • Submit and reconcile expense reports.
  • Receive and assist visitors and telephone callers. Determine nature of the call and refer to Executive or others, as circumstances warrant.
  • Act as the point of contact for internal and external clients.
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
  • Be available as needed as it relates to the executives travel which may include afterhours and/or on weekends.



Must Have:



  • Minimum of Associate's degree required. Bachelor's degree preferred
  • At least 5 years of proven experience as executive assistant to senior C-level executive(s).
  • High degree of maturity, honesty, trust, sophistication, and integrity and cultivates these qualities in others.
  • Strong written/oral communication skills.
  • Strong attention to detail as well as ability to multi-task in a high-paced environment.
  • Strong skills in Microsoft Suite (Word, Excel, Outlook, PowerPoint) programs.
  • Ability to be discreet and handle confidential information.
  • Ability to work overtime, including weekends, as required to ensure 24/7 Executive team support.
  • Self-starting individual who can work both independently and in a team-oriented environment.
  • A strategic thinker who is adept at multi-tasking in fast paced environment, able to plan, prioritize, and organize individual and group activities and processes.
  • Outgoing, straightforward, and creative.
  • Able to work independently and take initiative.
  • Results oriented, adaptable, flexible, problem-solver.



Anticipated Annual salary range: Competitive market salary from $70,000 to 90,000 per year depending on qualifications and experience.
