MUST:

Experienced Legal Administrator

Associate's or Bachelor's degree preferred; paralegal certificate a plus.

Two to four years of experience as a legal assistant, preferably in litigation or white-collar defense.

Strong knowledge of state and federal court rules, filing procedures, and electronic filing systems (CM/ECF, PACER).

Excellent organizational skills with the ability to manage multiple cases and deadlines simultaneously. Ability to work in a fast-paced environment efficiently.

Proficiency in the Microsoft Office Suite, Adobe Acrobat, and legal practice management software (such as Clio). Experience with QuickBooks would be a plus.

Strong written and verbal communication skills.

Demonstrated ability to maintain confidentiality, professionalism, and good judgment.

DUTIES:

Case Support, Document Management, Billing, Deposits, occasional credit card payments per client instruction, collection call follow ups on outstanding receivables, Travel Arrangements and expense accounting. Draft, proofread, and format legal documents, correspondence, and memoranda. Knowledge of grammar is a must. Manage case files (electronic and physical (minimal)) including pleadings, discovery materials, exhibits, and court submissions. Manage mediation and/or arbitration cases for one attorney, following required steps for accepting cases, running conflict checks, preparing draft template budgets and documents to fill out and assist with hosting the mediation and/or arbitration. Knowledge of Zoom and or/Teams is required in the event the mediation or arbitration is remote and needs separate remote breakout rooms for the parties. Coordinate document production with Paralegal and assist with review process requested by attorney. Knowledge of Relativity is a plus, but not a requirement.

Litigation & Defense Support : Prepare, electronically file, and serve court documents in federal and state courts, ensuring compliance with local rules and deadlines. Assist with the assembly of deposition, hearing, and trial materials, including Judge's Chambers copies, witness binders, and exhibit lists. Track and Docket deadlines, schedules, and case calendars across multiple jurisdictions and in various courts. Manage separate mediation/arbitration schedules and parties.

Client & Attorney Support : Act as a point of contact for clients, experts, and court personnel, while always maintaining professionalism and confidentiality. Assist attorneys with coordination of meetings, depositions, and court appearances. Help prepare presentations, case chronologies, proposals, and other client-facing materials.

Administrative Duties : Manage attorney calendars, travel arrangements, and expense reporting. Ensure attorneys enter time in system DAILY and assist with client billing procedures. Follow-up on answering client billing questions. Provide general administrative support and manage office supplies to ensure smooth case workflow.
