Overview

Nakupuna Solutions is seeking a Travel Arranger. The Travel Arranger provides comprehensive support for all aspects of domestic and international travel within the bureau. They coordinate closely with leadership, travelers, and administrative staff to ensure compliance with travel policies, facilitate accurate documentation, manage travel systems, and support related financial and logistical needs. Their work helps maintain efficiency, accuracy, and regulatory compliance of travel operations across the organization.

The Department of State's Bureau of Counterterrorism (CT) leads the U.S. government's efforts to counter terrorism abroad and to build the capacity of international partners to prevent and respond to terrorist threats. Administrative and Professional Support Services play a critical role in advancing CT's mission by providing operational, logistical, and programmatic support across a range of initiatives. These services ensure the efficient functioning of the Bureau by supporting policy coordination, budget and financial management, human resources, travel, procurement, and other essential administrative functions that enable CT to deliver timely, effective counterterrorism programming worldwide. The place of performance for this work is Washington, DC, and some travel may be required.



Responsibilities

    Coordinate all travel arrangements for the bureau, with priority given to front office leadership, and assist with travel planning to ensure timely and accurate travel authorizations.
  • Support travelers in submitting travel vouchers within five business days of trip completion, in accordance with bureau and department policy guidelines.
  • Manage all required travel tasks, ensuring compliance with the Federal Travel Regulation (FTR), including submitting passport applications, processing country clearance (eCC) requests, and securing travel visas when needed.
  • Ensure timely follow-up and action by relevant managers and staff on received travel-related items.
  • Organize overseas representational events as needed, including preparing guest lists, escorting VIP guests, reserving meeting rooms, and coordinating posts.
  • Oversee the e2 travel system user accounts for CT and SPEHA personnel, including submitting new user requests and removing departing staff.
  • Manage the bureau's travel card program in coordination with CT/EX Budget.
  • Collaborate with CT/EX Budget on travel-related unliquidated obligations and taskers.
  • Maintain and update the office's standard operating procedures (SOPs) in alignment with organizational requirements.
  • Organize and maintain all electronic and paper files; ensure the office SharePoint site and filing systems are current and functional.
  • Advise and assist staff to ensure compliance with established SOPs, requesting guidance from senior staff as needed.


Qualifications

Skills/Qualifications: The Travel Arranger brings strong organizational and customer service skills to support travel planning, event coordination, and administrative functions in a fast-paced setting. With the ability to manage multiple tasks simultaneously and effectively communicate with internal and external stakeholders, the individual contributes to smooth operations across the bureau. Experience with Microsoft Office and familiarity with travel systems and the Federal Travel Regulation further support the role's responsibilities.

Education and Experience:

  • High School Diploma required.
  • Minimum of three (3) years of administrative, office management, or related experience required.

Clearance Requirement: Secret clearance required. Must be a U.S. citizen.

Physical Requirements: The ideal candidate must at a minimum be able to meet the following physical requirements of the job with or without a reasonable accommodation:

  • Ability to perform repetitive motions with the hands, wrists, and fingers.
  • Ability to engage in and follow audible communications in emergency situations.
  • Ability to sit for prolonged periods at a desk and working on a computer.
