We are seeking an eBilling Assistant for our Minneapolis, Denver, Salt Lake City, Seattle, or Des Moines office. In this role, you will assist with all components of the eBilling process for clients and attorneys, including coordinating new client setup and onboarding, write-offs, auditing, compliance with client requirements, reporting and spreadsheets, eBilling and A/R management as needed. In this role, you will: - Insure accurate and timely processing of all eBilling invoices. Monitor Hub rejections, update status and communicate with billers and attorneys on rejections. - Coordinate with attorneys and legal assistants with new matter tasks. - Prepare necessary transfers, WIP write offs or A/R write-offs, obtain required approvals. - Prepare reports on rejected eBilling invoices pursuant to the client's instructions, perform correspondence, draft status descriptions for reporting, obtain approvals and submit form prior to clearing deadline. - Assist Accounts Receivable in the review of statement of accounts; provide current information for the Finance Department; prepare additional billing detail, breakdowns, and analysis as requested by clients, attorneys, or billing. - Maintain billing records and provide follow-up assistance to attorneys, secretaries and clients regarding questions or problems arising from billing. Provide spreadsheets, reporting, etc. to client when requested. - Set up new clients and basic mapping in various vendor eBilling systems. Enter budgets for clients monthly, working closely with attorneys and secretaries on timelines. Status updates. Cleanup emails in the eBilling admin email address. - Assist Billing Specialists in resolving eBilling issues; assist collection specialists in resolving eBilling issues; assist eBillers in resolving line item rejections and appeals. Establish and maintain strong relationships with attorneys and their clients. Review client accounts for accuracy. Ensure eBills conform to client guidelines. - Assist eBillers in the annual rate season submissions; prepare preseason rate spreadsheets, compile data and work with the Financial Analysts to ensure information is accurate, clean up data in preparation for rate adjustments, and complete rate season submissions and track in Smartsheet. - May be requested to perform other duties not mentioned above. What we're looking for: - High School diploma or G.E.D. equivalent. - At least 1 year of experience in accounts receivable or customer service. - eBilling experience with various eBilling vendors. - Ability to effectively communicate, both verbally and written, with all levels of the firm. - Good client and customer service skills. - Ability to work independently in a deadline driven environment. - Knowledge of Microsoft Office Applications (Word, Outlook) and intermediate Excel skills. - Experience working directly with clients and/or customers. - Strong collaboration and teamwork skills. Preferred: - Thorough understanding of advanced Elite capabilities and eBilling applications. Previous work experience with Elite 3E. - Ability to interpret billing policies. - Experience working in a large law firm with eBilling vendors. - Familiarity with E-Billing Hub and LEDES file formatting. - Ability to organize and prioritize numerous tasks and complete them under time constraints.
