HR Administration Job Summary

Under general supervision, assists with all leave of absences, short-term and long-term disabilities cases. Assists with Family and Medical Leave (FML) cases and explains employees and management rights and responsibilities under the Family & Medical Leave Act (FMLA) and Colorado Healthy Families and Workplaces act (HFWA). Refers cases under Americans with Disability Act as Amended (ADAAA) to the RN Case Manager, LOA. Is the liaison between the employee, department supervisor, payroll and Human Resources (HR) as well as the insurance carrier and third-party administrators (TPA) during the employee's absence and upon return to work. Monitors and tracks, and makes the determination on assigned leaves, and adheres to Federal/State and Local laws, Denver Health's HR Principles and Practices and time limits of FMLA and Non-FMLA.

Essential Functions:
  • Assists with FML, HFWA, and short term disability cases by reviewing submitted medical documentation and requesting additional information if needed to determine if FML case is eligible under FMLA. (20%)
  • Completes case review and advises the Payroll Department on need to pay disability. (10%)
  • Reviews documentation and eligibility status to determine whether an employee is eligible for benefits. (10%)
  • Conducts follow up on status of FML, HFWA, and short term disability cases, monitor usage of FML, HFWA, and short term disability, and monitor the return to work status and addresses issues that arise with the employee and/or the employee's immediate supervisor. (10%)
  • Maintains contact with employees on leave to monitor progress and prompt return to work date. (5%)
  • Works with manager and HR to monitor leaves and keep them informed. (5%)
  • Performs audits on HRIS and Leave of Absence reports regarding leave status, negative balances, and unprocessed events; reconciles leave status, return to work dates and API coding as directed. (5%)
  • Informs supervisory and management levels of the company regarding best practices and continuous process improvement within the area of FML. (5%)
  • Educate, interpret, and explain to employees and management, HR Principles & Practices, HR law, and regulations. (5%)
  • Explains and provides information, answers questions regarding the FMLA, STD, LTD, ADAAA, Pregnancy Discrimination Act and other programs to employees, managers and supervisors. (5%)
  • Participates in FML exhaustion meetings and provides input to help determines employment status. (5%)
  • Communicates and works with a variety of internal and external sources such as attorneys, physicians, providers, payroll, vendors and others to achieve a timely return to work date and prompt resolution of the claim. (5%)
  • Demonstrates continuous effort to improve operations, decrease turnover times, and streamline work processes and work cooperatively to provide quality customer service. (5%)
  • Assists with delivery of FML Supervisory Training focused on Denver Health needs. (5%)

Education:
  • High School Diploma or GED Required

Work Experience:
  • 1-3 years One year of professional human resources experience Required and

Licenses:

    Knowledge, Skills and Abilities:

    • Demonstrates professional and operational knowledge of State and Federal disability, ADAAA, FMLA and other appropriate laws.
    • Knowledge of Denver Health Short-Term and Long-Term Disability Plans (STD and LTD).
    • Knowledge of medical terminology.
    • Ability to perform mathematical calculations.
    • Ability to maintain the highest degree of confidentiality.
    • Able to coordinate and manage several tasks/duties at the same time.
    • Able to deal with all levels of employees within the organization.
    • Excellent verbal and written communication skills.
    • Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint software required.
    • Knowledge of HRIS and timekeeping systems required.
    • Knowledge of Lawson preferred.
