Position Title Assistant to the Associate Dean of Academic Affairs
Overview
St. John Fisher University is an independent, liberal arts institution that provides a transformative education to approximately 3,800 undergraduate, master's, and doctoral students each year. Across its five Schools, Fisher offers nearly 40 majors in the humanities, social sciences, natural sciences, business, education, and nursing; 11 pre-professional programs; and master's and doctoral programs in business, nursing, education, pharmacy, and public health. The University's residential campus boasts a robust living and learning community and a successful intercollegiate athletics program. Job Responsibilities
As a forward facing role, this individual will provide comprehensive administrative support to the Wegmans School of Pharmacy's Offices of Academic Affairs (OAA) and Student Affairs, supporting student and faculty services. Prior experience in an academic setting and demonstrated professionalism are strongly preferred. Overall support will include, but is not limited to:
OAA and OSA Support:

  • Serve as a primary point of contact: welcome visitors, screen calls, and monitor departmental emails.
  • Coordinate meetings, schedules, room reservations, and event logistics.
  • Draft and manage correspondence and communications (e.g., mail merges).
  • Provide administrative support to assigned committees and faculty initiatives.
  • Collaborate with School of Pharmacy staff on school-wide events and communications.
  • Coordinate with University offices as needed

  • Data/information management

    • Maintain and manage data for reports, accreditation materials, and student records.
    • Support Banner and course management systems; liaise with the Registrar's Office
    • Manage systems and documentation housed in the University, such as a course management system, to support the student experience



  • Support for Dean Suite
  • Other duties as assigned

The OSA in the WSoP:

  • Planning/execution of special events such as the P1 Orientation/Immersion, Honors Night, Awards Luncheon, etc.
  • Monitor and update WSoP announcement screens.
  • Support student organizations and maintain event documentation.

Budget responsibility:

  • Coordinate annual disbursement of student affairs monies to the various organizations/clubs in the WSoP
  • Manage budgets for the OSA, Student Government (PSGA), and student organizations' accounts and funds
  • Prepare expense reimbursement and coordinate disbursement requests for OAA/OSA, PSGA, and student organizations.
  • Process purchasing card statements
  • Place orders for OAA/OSA-related activities

Education / Experience
An associate degree and/or previous experience in an academic environment is desirable.

  • Excellent written and verbal communication skills.

  • High degree of organization and ability to manage multiple priorities.
  • Demonstrated self-motivation and independent problem-solving in a dynamic environment.
  • Ability to maintain confidentiality and handle sensitive information appropriately.

Competencies / Skills
Applicants should have:

  • Basic computer skills
  • Proficiency with common computer office programs (e.g., Microsoft Office, Foxit, internet) and general office equipment
  • Ability to learn and use University systems and new computer-based applications
  • Experience with scheduling tools and managing digital communications.

Job Type Full-time
Work Hours
Full-time, 12 months, 35 hours a week. May be required to work additional hours if needed.
