Rutgers, The State University is seeking an Associate Program Manager for
University Finance and Administration (
UFA). Reporting to the Assistant Vice President for Strategic Financial Initiatives and Chief of Staff (
AVP-
COS), the Associate Program Manager provides high-level, confidential support to the
AVP-
COS, the division's Human Resources Manager, and the Office of the Executive Vice President-Chief Financial Officer (
EVP-
CFO). The role involves managing a wide range of administrative and programmatic responsibilities, including division-wide administration and coordination of internal and external programs, events, and strategic projects managed by the Office of the
EVP-
CFO. Serving as a key coordinator for diverse operational and administrative processes and programs in
UFA and other central units, this role serves as a primary liaison for a broad range of divisional functions. This position requires excellent organizational and project management skills, sound judgment, discretion, strong attention to detail, and the ability to handle confidential information.
Among the key duties of this position are the following:
- Provides strategic and organizational support for high-level projects and initiatives that advance division-wide strategy, policy, and planning efforts.
- Coordinates timelines, deliverables, and communications across internal teams and external stakeholders.
- Manages confidential materials such as staffing models and structural proposals.
- Supports organizational change initiatives and contributes to policy development.
- Tracks and maintains project deliverables, manages data repositories and collaboration platforms, and ensures timely and effective communication to support execution of initiatives and cross-functional alignment.
- Plans, coordinates, and executes meetings, programs, and events for internal and external stakeholders in alignment with project goals, operational standards, and university policies.
- Delivers high-level administrative support to senior leaders, including managing calendars, travel, expenses, and division-wide communications.
- Drafts and prepares reports, presentations, and other materials related to division programs and strategic initiatives.
- Coordinates personnel and payroll processes in partnership with the UFA HR Manager, providing administrative support for transactions and documentation.
- Assists with implementing and standardizing onboarding, offboarding, evaluation, and engagement processes; also coordinates the division's internship program.
- Supports learning and development programs and internal communications to enhance staff engagement and readiness in connection with strategic priorities.
- Serves as a resource, trainer, and backup for administrative staff in the division; maintains shared tools and templates; recommends improvements to operational workflows and service delivery.
- Oversees internal systems supporting core functions such as access control, supply management, and division-wide inquiries; liaises with UFA departments to ensure alignment with university procedures.

Qualifications
Minimum Education and Experience |
- Bachelor's degree in a related field and at least five (5) years of administrative, project coordination, or operations experience, preferably in a higher education or complex organizational setting; or an equivalent combination of education and/or experience.
