TEMP - Coordinator I, Event Planning

Job Description:

The Coordinator I, Event Planning supports the planning, execution, and evaluation of events including tradeshows, corporate meetings, incentive programs, and internal events.
  • Assist with pre-event planning, including venue research, vendor outreach, shipping logistics, and internal communications.
  • Maintain and update event calendars, project timelines, task trackers, and registration reports.
  • Assist with tradeshow logistics including booth asset management, promotional items, shipping, and registration tracking.
  • Collaborate with marketing, sales, and travel teams to support program goals and deliver exceptional experiences.
  • Assist in managing event registration platforms, including Cvent-setting up registration websites, managing attendee lists, and pulling reports.
  • Leverage Salesforce.com to track leads, support event ROI reporting, and assist in post-event follow-up.
  • Help track expenses in Concur, manage invoices for SAP, and assist with reconciling budgets post-event.
  • Prepare post-event surveys, recaps, and presentation decks for internal reporting.
  • Provide general administrative support to the Director of Meetings & Special Events and a wider events team.
  • Travel as need and participate in event execution.
  • Perform other duties that support the overall objective of the position.
Education Required:
  • High School
  • Or, any combination of education and experience which would provide the required qualifications for the position.
Experience Required:
  • Currently pursuing a degree in Hospitality, Event Management, Marketing, Communications, or a related field.
Knowledge, Skills & Abilities:
  • Knowledge of:Proficient in Microsoft Office Suite (Excel, PowerPoint, Outlook).
  • Skill in:Strong communication skills, both written and verbal. Strong organizational and time-management skills with excellent attention to detail,
  • Ability to:Manage multiple projects and prioritize in a fast-paced environment. Team player with a can-do attitude and eagerness to learn.
