Posting Summary
Rutgers, the State University of New Jersey, is seeking an Administrative Assistant for the Emergency Medicine Department within New Jersey Medical School.

The Department of Emergency Medicine at Rutgers New Jersey Medical School is seeking a full-time (1.0 FTE) staff member to serve as a Program Assistant and provide departmental support. In this dual role, 60% of the position will focus on assisting the Residency Coordinator with the coordination and implementation of activities related to the residency and post-graduate education programs, including administrative support for resident training and documentation. The remaining 40% of the role will involve assisting the department with reviewing and managing billing reports to ensure accuracy and support operational efficiency.

Among the key duties of the position are the following:

  • Assist in implementing and coordinating the operation of the Residency Education Office, ensuring compliance with documentation and management standards set by institutional, regional, and national oversight bodies.
  • Work under the supervision of the Director of Administration and Residency Program Director, and receive direction from the Program Coordinator to meet all internal and external compliance and documentation requirements in coordination with the NJMS GME Office.
  • Assist in gathering, interpreting, and formulating GME data to ensure all program deadlines are met.
  • Assist with the planning and coordination of recruitment, credential verification, and resident documentation in consultation with the Emergency Residency Coordinator.
  • Under the Residency Coordinator's supervision, prepare and process Resident verification forms/letters, contracts, evaluations, semi-annual evaluation files, surveys, certifications, and NJ permit packages.
  • Assist in creating and maintaining files in the New Innovations database, ensuring the accuracy and organization of residency records

Minimum Education and Experience

  • Associate's Degree plus two (2) years of administrative/secretarial experience.
  • Equivalent experience, education and/or training may be substituted for the education requirements

  • Must have superior written and verbal skills along with excellent interpersonal communication skills.
Preferred Qualifications
