Responsibilities



  • Calendar Management







    • Manage the scheduling of meetings for VP, Estimating & Bidding, VP, Supply Chain, General Counsel and VP, Contracts Management, SVP, Business Development.







  • Exception Reporting







    • Request, collect and process monthly salary exception reporting for COO, Estimating & Bidding, Supply Chain, Legal, Contracts Management, Business Development, , and QHSE departments.







  • Travel & Expense Management







    • Process Concur expenses for COO, VP, Estimating & Bidding, VP, Supply Chain, General Counsel and VP, Contracts Management, SVP, Business Development.









    • Coordinate travel for, VP, Estimating & Bidding, VP, Supply Chain, VP, General Counsel and VP, Contracts Management, SVP, Business Development.







  • Purchasing & Payables







    • Provide purchasing support by addressing invoices, tracking budgets, managing accruals, submitting Check Requests, and tracking billing information for Legal, Estimating and Bidding, Business Development, Contracts Management and Facilities departments.







  • Facilities Support







    • Coordinate and provide support for events conducted in the New York City office.









    • Conduct audits of New York City employee office attendance and provide a report to VP, HR and DE&I weekly.









    • Collect and distribute mail for Executives, Legal, Contracts Management, Supply Chain, Estimating and Bidding and Business Development departments (Cheshire employees only).









    • Periodically inventory and, if necessary, order supplies for the New York City office.







  • Legal Department Administrative Support







    • Enter legal deadlines into a department calendar.









    • Filing (creating and archiving)









    • Send form letters to multiple parties







  • Act as the liaison with IT for hardware and software issues for, VP, Estimating & Bidding, VP, Supply Chain, General Counsel and VP, Contracts Management, SVP, Business Development.





Requirements


  • High School or GED


  • 3 years of experience in administrative support
