JOB SUMMARY

The Secretary reports to the Assistant Program Director and Program Director and is responsible for general secretarial, office, and bookkeeping duties.

ESSENTIAL JOB RESPONSIBILITIES



  1. General secretarial and front desk receptionist duties including: Answering the telephone, greeting clients/guests, notifying staff when clients arrive for scheduled appointments, typing correspondence, maintaining files and case entries, preparing forms to be sent to the administrative office, and performing general office duties.
  2. Responsible for updating, editing, and adding accurate information to electronic medical records as needed.
  3. Attends bi-weekly Program staff meetings.
  4. Provide the Program Director with timely reports on any unusual occurrences that might impact the overall program operation or the health and safety of clients or employees.
  5. Complete the minimum required hours of training annually per Turning Point training requirements and policy for clerical staff.
  6. Will think and act quickly and efficiently in emergencies.
  7. Will drive on Agency business which includes the transportation of clients.
  8. Physical presence at the worksite is required.


ESSENTIAL JOB REQUIREMENTS



  1. High school diploma or GED.
  2. Two (2) years of junior college with Business Administration/Secretarial major or completion of secretarial course in accredited business school preferred.
  3. Previous successful secretarial or office work experience.
  4. Communicate effectively in written and spoken English and Spanish preferred.
  5. Ability to perform basic mathematical calculation.
  6. Work effectively with diverse ethnic, cultural, religious, socioeconomic, and professional groups of people.
  7. Intermediate computer skills in Microsoft Word, Excel, Outlook and PowerPoint, Office 365, Teams, Zoom and other communication/meeting platforms.
  8. Possess a valid driver's license and have access to a dependable means of transportation that is properly insured and operated in accordance with all laws. Agency insurer authorization is required.
  9. Ability to pass a criminal background check.
  10. Ability to pass a pre-employment drug screen and TB test.


ESSENTIAL JOB REQUIREMENTS FOR BILINGUAL SKILL



  1. Communicate effectively in written and spoken Spanish.
  2. Required ability to communicate effectively with monolingual Spanish speaking clients and families for all clinical purposes.
  3. Assist with phone calls for Spanish clients.
  4. Required to provide language translations for case managers and Physicians on a periodic basis.
  5. Minimal adequate competency in the Spanish language as evidenced by successful passage of the TPOCC Spanish Competency Test.
  6. Other translation tasks as required.

    • Monolingual: Class 103 ($21.26/hour)
    • Bilingual: Class 108 ($21.48 - $22.34/hour)
