POSITION SUMMARY:
The Payroll Analyst ensures salaried and hourly payroll processes are accomplished appropriately and in a timely manner. This individual coordinates the payroll functions for multiple companies with differing pay rules. The position serves as the subject matter expert on payroll and resolves issues while seeking improvements in operational processes, to include supporting system conversion efforts. ThePayroll Analyst works effectively with a diverse population both within the Human Resources Department and throughout the company.

$64,000 - $78,000
ESSENTIAL FUNCTIONS AND MAJOR RESPONSIBILITIES: (This list is not intended to detail all aspects of the assigned work but is representative of the job's overall responsibilities.)
  • Assists management with payroll system modifications. Evaluates existing processes and design, recommends/implements process improvements; collaborates with Accounting, Information Technology and Human Resources staff in the process improvement. Creates work instructions for payroll functions, mentoring and training staff as appropriate.
  • Support of upcoming system conversion. Attend meetings, understand current processes to be able to make recommendations to streamline while consulting with payroll team. Tasks to include work on integrations, GL, parallel testing, work instructions, etc.
  • Personally and confidentially processes salaried/corporate hourly payroll including garnishments, deductions; responds to questions from salaried/corporate hourly employees and resolves discrepancies; maintains the salaried payroll database. Exposure and coverage of the Production Payrolls processed weekly.
  • Validates payroll records by performing audits to ensure accuracy. Should errors be detected, work to resolve and mitigate future occurrences and/or risks. Modify work instructions as appropriate.
  • Prepares reports and summaries of earnings, taxes, deductions, leaves, taxable and nontaxable wages; responds to requests for information as needed for labor negotiations and other management needs. Report generation includes routine and special requests, in addition to supporting staff with their reporting requirements using queries and reporting tools, such as excel vlook-ups, pivot tables, and other intermediate functions.
  • Responds to inquiries and research projects identified by Human Resources, Accounting, or other departments as necessary. Supports team with Union Audits.
  • Performs significant role in tax reconciliation, preparation, and reviewing any tax notices. Escalation to vendor as necessary. Ensure proper troubleshooting and system updates to support any necessary wage or tax adjustments. Monitor company transfer employee tax activity. Includes follow-up research and adjustment entries as necessary.
  • Processes deductions and payments of 401(k) loans and other recurring or unique payroll related processes; researches and resolves discrepancies.
  • Assists with reviewing collective bargaining agreements and unrepresented employee terms and conditions for changes; implements payroll-related provisions; coordinates changes with Human Resources.
  • Provides ongoing assistance to other payroll staff members. Covers for payroll staff members during vacations and absences.
  • Performs related duties and special projects as assigned.


JOB SCOPE:
ThePayroll Analyst operates within standard operating principles related to payroll systems and is expected to apply knowledge of law and regulations gained through experience and education. The position reviews and recommends to the Corporate Payroll Manager changes in systems and processes. ThePayroll Analyst both performs complex technical work and while not in a supervisory role, acts as a lead for those performing payroll work.
INTERPERSONAL CONTACTS:
ThePayroll Analyst cultivates strong relationships and proactively resolves issues through close collaboration with the Payroll Department, Accounting, Human Resources, Information Technology, and other internal and external partners.

WORKING CONSIDERATIONS:
Due to the time-sensitive nature of payroll processing and related tasks, scheduling time off around critical deadlines will be necessary.

KNOWLEDGE SKILLS AND ABILITIES:
  • Knowledge of principles and practices of payroll processing; rule, laws and requirements in operating a payroll function.
  • Skilled at PC use including databases, spreadsheets and related computer programs designed for payroll; use of automated payroll systems; develop, design and generate ad hoc reports.
  • Intermediate/advanced excel skills, to include vlook-ups, pivot tables, what if statements, etc.
  • Ability to work well on a team - interacting and supporting team members with focus on strengthening team via team building, meetings, training, and other growth opportunities.
  • Ability to coach and guide payroll staff and serve as a mentor.
  • Ability to also complete work independently in a time-constrained environment.
  • Ability to focus on the big picture while attending to multiple detail requirements.
  • Ability to adapt to a changing environment.
  • Ability to analyze and interpret data. Strong analytical and problem solving skills.
  • Ability to formulate and implement solutions.
  • Must possess excellent interpersonal and communication skills, both oral and written for constant interaction with all departments, employees and outside auditors/customers.
  • Must be a well-organized, detailed and customer (internal and external) oriented self-starter.
  • Ability to handle competing priorities and deadlines effectively and respond well to last minute, high priority, time sensitive projects.


EDUCATION AND/OR EXPERIENCE:
Degree in Accounting, Mathematics, Finance, Business or Human Resources or a combination of education and related experience preferred.

Three (3) years of experience administering a multi-company payroll. Individual must have experience in Time and Attendance, Human Resources and Payroll is preferred. Any combination of training and experience that would provide the required knowledge, skills and abilities will be considered.

CERTIFICATES, LICENSES AND REGISTRATIONS: CPP or FPC preferred.

PHYSICAL DEMANDS:
The physical demands for this position are light to moderate. The position requires sitting and use of hands/arms for extended periods of time using a variety of computer programs, electronic communication tools and related office equipment to accomplish work tasks; operating a motor vehicle including a current driver's license; reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

WORK ENVIRONMENT:
The work environment for this job is primarily office-oriented with open shared office spaces and constant interruptions; some travel within a heavy industrial environment when performing certain administrative functions or overseeing payroll work.
