Overview

LMI is a mission focused, government consulting firm, dedicated exclusively to advancing the management of the government. We are currently seeking an Executive Assistant and partner to our Chief Human Resources Officer (CHRO) & SVP for our Health & Civilian Markets. This role will be based out of our Tysons, VA headquarters with some in office likely 2 to 3 days a week as needed. This role will provide a full range of executive assistance and partner functions such as, meeting & event planning, calendar management, travel and expenses, budget mgt, invoices, proactive action tracking and other business processes. This is a great opportunity for a collaborative, customer-oriented professional with experience in an HR organization and working across an executive team.



Responsibilities

    Proactively manage the executive's calendars and schedule to ensure daily and long-term priorities are met in a fast-paced and frequently changing environment and working well under deadlines and with excellent judgement.
  • Advantageously and strategically schedule internal and external meetings using Microsoft Outlook, work with clients at all levels, use ServiceNow for visitor needs and be able to work the full spectrum of meeting planning.
  • Simultaneously plan, organize, and implement multiple short and long-term projects, to include executive-level event planning for leadership and client sessions/workshops.
  • Work within a very confidential environment with sensitivity to employees and clients - must have some HR team experience.
  • Support travel: develop itineraries, make reservations, coordinate with internal/external individuals and groups, prepare and reconcile expense authorizations/reports.
  • Use Costpoint to create and process purchase requisitions/purchase orders. Ensure that invoices/bills are accurate; properly code and forward invoices to accounts payable.
  • Prepare and finalize written materials, including letters, minutes, presentations, and reports requiring special formats. Produce charts and other powerpoint presentation materials. Review, proofread, and edit materials to ensure they are grammatically correct, factual, and in approved format.
  • Proficiency in Microsoft Office Suite: create spreadsheets using Excel, prepare and edit PowerPoint presentations, use Word to edit and proofread documents.
  • Comfortably use and adapt to communication technologies like teams, WebX, VTC units, LiveStream presentations, etc.
  • Partner with and provide back-up support, when needed, across LMI team.
  • Attend and support department, project, and team meetings and serve as a resource to teams.
  • Manage multiple projects, take on new responsibilities, autonomously provide solutions and assistance, and handle unanticipated issues.


Qualifications

  • Experience in working with highly confidential information and situations. Able to maintain absolute confidentiality and discretion in all matters required.
  • Bachelor's degree or higher preferred.
  • 7+ years of experience as an Executive Assistant in a business environment required, including C-suite experience.
  • Experience supporting a Human Resources team
  • Demonstrate strong time management skills, ability to coordinate and prioritize projects and assignments with little supervision, and taking initiative. Must be self-directed and detail oriented in completing assigned projects and tasks.
  • Strong proficiency with Microsoft Office programs such as Excel and Power Point required and use of AI tools a plus.
  • Able to contribute to a professional work environment by demonstrating integrity, promoting teamwork, and fostering positive communication while balancing team priorities.
  • Strong service orientation providing prompt, courteous, and professional service. Serve as liaison between executives and LMI staff.
  • Maintain regular, punctual attendance in sync with the schedule of the executives.
  • Strong communication and listening skills required. Ability to compose, write, edit, and proofread a variety of internal and external general business correspondence, memoranda, proposals, presentations, and management reports essential. Experience with Microsoft Office programs such as Word, using track changes, required.
  • Demonstrate poise and tact in dealing with the LMI Board of Directors, clients and Senior Leadership Team.
  • Strong attention to detail.
  • Able to work effectively in a deadline oriented environment is essential.
  • Maintain familiarity with current LMI policies, procedures, and ability to get to know the business of LMI.
