OVERVIEW

Merrick & Company is seeking an Office Administrator/Technical Assistant for our Space Coast office located in Melbourne, Florida. Basic office hours are 8:00 am ET to 5:00 pm ET, Monday thru Friday. Only full-time candidates will be considered. Occasional overtime could be needed with short notice. This position may also require some minimal localized travel.

Typical pay hourly range for this position is $26.83 - $34.71. Base pay offered may vary depending on job-related knowledge, skills, and experience.


WHAT YOU'LL DO

  • General administrative and reception responsibilities in support of office functions, project teams and technical staff.
  • Document control, word processing/preparation of documents, electronic filing, preparation of special reports, mail preparation and distribution.
  • Assist with preparation of invoices, expense reports, and travel arrangements.
  • Prepare correspondence, memorandums, briefings, and other reports required for day-to-day operation.
  • Create Excel databases and enter data as required for a project.
  • Maintain project records, files, statistical data, action items, time and attendance records, and meeting minutes.
  • Help resolve design related administrative issues in a timely manner.
  • Coordinate special events and organize meetings.
  • Provide support as requested to assure that the office is maintained in a professional appearance, organization, functionality and preparedness of office equipment, copy areas, supplies, and conference rooms.
  • Master the SpecsIntact program, edit specifications by using redlines from the team, and produce submittal specification documents using SpecsIntact software. This can be learned on the job.
  • Contribute to project budget estimates and assure project administration duties are performed within budget.
  • Order supplies and equipment as requested by management and technical staff.
  • Assist with creating/submitting badge applications at various institutions (ie military bases).

REQUIRED QUALIFICATIONS

  • Minimum three (3) years of experience working in a similar administrative role in the client service fields such as Engineering, Architecture or Consulting Services.
  • Associate's degree or equivalent experience.
  • Ability and willingness to attain badged access at semi-local federal installations and provide occasional escort to subcontractors and other employees.
  • Excellent communication skills and professionalism in speaking to groups, writing letters, and sending emails to employees and clients.
  • Knowledge and experience working with general office machines, software, and the internet/intranet.
  • Must be proficient in Microsoft Office applications, particularly the latest versions of Word, Excel, Outlook, PowerPoint, and Access.
  • Knowledge of Adobe and/or Bluebeam.
  • Client projects for this position require U.S. citizenship and the ability to pass an enhanced background check.

DESIRED QUALIFICATIONS

  • Experience in construction, architecture or engineering related support role.
  • Local candidates preferred.
  • Experience maintaining construction or design project records and files.
  • MS Project skills.
  • Desired minimum typing skills of 60/wpm.
  • Experience working with printing and copying equipment (standard print/copy/scan and also large format plotter/scanner)
  • Experience with Newforma construction and design management software.
