Overview

Provides scheduling services and obtains insurance authroizations for applicable patients. Has a working understanding of medical necessity, CPT codes and insurance requirements. Supports licensed nurses and providers in non-clinical ways so that nurses and providers can provide clinical services to patients. Keeps the department stocked and organized to the best of their ability.


Responsibilities

* Telephone triage and management, demonstrating telephone courtesy. Phone triage to include high volume of calls from patients with numerous requests and medical issues. Also high volume of calls from provider offices/representatives with the ability to prioritize requests based upon urgency.

* Chart maintenance of Pain Center files.

* Scheduling responsibilities to include a high amount of prioritization skills based upon patient needs.

* Maintains patient wait list

* Obtains/secures prior authorizations from insurance providers.

* Is knowledgeable on the various insurance companies requirements, assists staff to avoid claim denials.

* Answers incoming phone calls from hospital areas, provider offices, or suppliers. Screens calls and takes messages for department personnel.

* Maintains a filing system for daily department records, and purging department records, as necessary.

* Prepares daily statistical information as requested by the leader.

* Provides background support for the leader to allow functioning in an organized, efficient manner.

* Works with Health Information Management staff in assuring proper routing of records, and retrieves pertinent records as needed for comparison.

* Maintains work area in a clean, neat, and orderly fashion.

* Participates in non-direct patient care activities including educational activities, performance improvement activities, standards development and review, department meetings and in-services, department/hospital committees and other related activities.

* Maintains stock of basic office and unit supplies for the department.

* Places orders through Nutritional Services for floor stock.

* Demonstrates proficiency in working with office equipment i.e., computer, copy machine, fax machine, intercom and phone system.

* Serves as unit receptionist and completes clerical tasks under the supervision of manager, charge nurse.

* Displays friendly and courteous behavior to patients, visitors and other hospital personnel.

* Communicates with other members of the healthcare team in order to ensure coordination of services with other departments, consistently demonstrating positive customer relation skills

* Participates in unit operations demonstrating professional behaviors to include supporting goals of nursing unit and maintaining awareness of resource utilization.

* Demonstrates knowledge of basic medical terminology.

* Collaborates with other provider offices in requesting and receiving patient information.

* Monthly validate that no patient supplies are expired

* Daily assure that the crash cart is functional

* Scan in documents to Electronic Health Record as needed


Qualifications

Education:

High school graduate or equivalent required.

Certified Medical Aide preferred.

Experience:

Previous clerical/secretary experience preferred.

License(s)/Certification(s):

Basic Life Support Certified required.

Knowledge/Skills/Abilities:

Must be able to work independently. Must be able to demonstrate the knowledge and skills necessary to interact appropriately and perform clerical services for the young/middle/mature adult patient. Must be mature and able to interact well with people, both in person and on the telephone. Ability to read, analyze, and interpret information received from the hospital information system and hospital summary sheets. Ability to compose various types of reports. Ability to effectively present information and respond to questions from the patient, their family, providers, and other

healthcare professionals with understanding and tact. Ability to spell correctly, write or print legibly, speak clearly, use correct grammar. Requires knowledge of basic medical terminology. Computer skills are necessary.

Computer with printer, hospital telephone system, calculator, typewriter, fax machine and copy machine. Patient care supplies.
